Administrative Support for Health Management and Policy Programs
The Department of Health Management and Policy is seeking a candidate to provide administrative support for the MHA, MPH/MS in Policy, EMHA, and PhD programs in the Department of Health Management and Policy by implementing recruitment, marketing, budgeting, and placement plans. Assist the DEO and directors of academic programs with management of enrollment and academic standards. Recruit, admit, and retain prospective and current students for programs, major departments, or colleges: Coordinate student registration and course enrollments including analysis of demand. Conduct visits for student recruitment to other programs at the University of Iowa or outside in other institutions. Compile data and information relevant to student recruitment as requested. Oversee and ensure syllabi meet requirements, book orders are complete, and exam procedures followed with faculty each semester. Serve as liaison between students, faculty, and University officials. Assist in communications with alumni as needed and requested. Assist and counsel department faculty, staff, and others requiring interpretation of UI, CPH, and department policies and regulations related to academic programs. Ensure instructor compliance with deadlines for coursework including syllabus, regulations, training, etc. Monitor student compliance with University rules and regulations. Prepare documents for degree programs for Graduate College, Registrar, and Graduate Admissions. Plan and coordinate numerous departmental student activities and professional development special events including annual symposium. Advise and counsel a varied current student population with routine academic, financial, career, and personal issues referring students to appropriate personnel and campus departments as necessary. Communicate any changes to Graduate College rules, regulations, and best practices to faculty. Organize student informational meeting, panels, and communications to students regarding the placement process. Support Program/QIC chairs in the admissions, marketing, and recruitment, orientation, professional development, and commencement processes. Organize process for scholarship and Graduate Assistantship offers made for recruitment and as opportunities occur throughout the academic year. Support DEO and academic program directors/committees by implementing strategies for recruitment, marketing, budgeting, and placement. Implement and monitor marketing plan for student recruitment. Design and provide content for printed marketing materials and updates to the website. Communicate via phone/email/in person with those interested in PhD, MHA, EMHA, MPH, or MS programs regarding admission requirements/application process/program information. Meet with incoming students (MPH/MS/MHA, JD/MHA) to create a tentative plan of study for their combined degrees. Review registration for combined degree students. Enrollment: Coordinate the student recruitment and admissions processes. Support the admissions process by developing templates for routine communications. Maintain database. Arrange approved required courses into a Plan of Study for review/approval of Policy Quality Improvement Committee. Applications and admissions process for new programs (SOPHAS applications, UI Grad applications, monitoring sending out decisions). Onboard incoming new program students, registration for first semester, orientation. Assist Program Directors with the introduction of alumni involvement in the admissions process as requested. Work with Office of the Registrar to register students for courses to remove the task from students' responsibilities, aligning with other Executive programs. Assist in logistics and documentation to change course dates to accommodate limitations and restrictions from cohorts on similar dates. Research potential need for sub-program designation, applications, registration, tuition assessment, and other tracking as needed. Coordinate MHA and PhD in person and Skype interviews; deliver admission and funding decisions to students admitted to all HMP programs as determined by Program Directors. Academic Standards and Curricular Policies: Update and maintain manual guiding the functions of the student services operations. Coordinate with faculty as requested on the student advising process, research assistantship opportunities, class schedules, course materials, special projects, and resolution of student concerns. Work with Program/QIC chairs to implement the strategic plan, and to assist with program development and plans and procedures that positively affect program administration, delivery, and effectiveness. Attend Department faculty meetings and academic program committee meetings led by program directors or other faculty and other meetings as needed and requested to provide reports. Serve on HMP Student Faculty Liaison Committee and serve as a member of various University committees. Collect, analyze, and disseminate information about students and academic program processes, operations, and outcomes for numerous reporting agencies including the accrediting bodies for the College of Public Health and MHA program. Monitor student compliance with Program, College, and Graduate College policies and University rules and regulations. Assist in maintaining relationships with department alumni and friends. Plan and participate in UI Campus Visit Days. Maintain and update integrated student database to assist with inquiries, applications, and admissions. Monitor student progress. Academic Program Coordination (Planning, Designing, Integrating, and Evaluating Curriculum): Provide guidance to students regarding procedural questions during their matriculation. Supervise assigned department and program support staff (for example, part-time student workers working on marketing) as needed and requested. Participate in the daily administration of operations and the execution of student services functions to contribute to a high-quality student experience. Assist in the development and implementation of special events, seminars, and symposiums that complement program goals and promote professional development. Advise prospective students on degree programs and requirements as well as ways to ensure success upon matriculation. Analyze data, develop, maintain, and monitor reports assessing evaluation strategies, admissions, orientation, and placement. Maintain operations statistics, reports, evaluation, and surveys. Respond to internal and external agencies requesting information, including accreditation data. Support the MHA efforts and activities by assisting the MHA program director and DEO as needed and requested in writing reports and documents, compiling and tracking data, communication, and coordinating accreditation timelines and other activities. Assist program directors with program evaluation and implementation of new ideas to further improve student experience. Develop new program handbooks for Policy Quality Improvement Committee. Assist new program students in navigating Grad College/program thesis requirements. Communicate with interested students the concept of the Des Moines campus (hybrid program). Write and edit articles regarding student activities for the HMP alumni newsletter and website. Budget and Administrative Support: Assist Program/QIC chairs in developing budgets and monitoring expenses as needed. Supervise assigned department and program support staff (for example, part-time student workers working on marketing) as needed and requested. Assist in overseeing teaching evaluation process and records management as requested. Attend departmental faculty meetings and report on program/student activities. Assist in developing and supervising student financial aid budget including allocation and expenditures for special student account. Provide periodic fiscal reports on these expenditures as requested. Assist with communications with Alumni as needed and requested by the DEO and program directors. Professional Development: Coordinate student events for all HMP programs: class trips, interview/presentation/networking seminars. Serve as liaison to external health care organizations/agencies and alumni regarding placement and professional development opportunities as requested by MHA Program Director. Arrange itinerary and accompany students on required professional development experiences as needed. Assist with the planning and implementation of programs and projects that strategically engage alumni in strengthening programs and provide tangible benefits to alumni and current students. Arrange meetings for the HMP Alumni Board, staff its committees, and ensure productive relationships between its members and the academic and administrative leadership. Ensure accurate and complete alumni database records; capture contact, biographical, and career information of alumni via surveys, projects (e.g., alumni directory), correspondence, website, postal returns, etc. Maintain connections with a wide range of alumni, locally, regionally, nationally, and internationally; through regular communication with alumni via direct contact, email blasts, alumni web pages, and print publications.
