The Property Manager is responsible for all the day-to-day financial and operational aspects of his/her given property assignments in compliance with the management agreement and established company policy and industry best practices. The Property Manager is responsible for all the day-to-day financial and operational aspects of his/her given property assignments in compliance with the management agreement and established company policy and industry best practices. The Property Manager provides the highest levels of customer service to the tenants while serving the interests of the client and protecting its investment in the asset.
Responsibilities
The Property Manager regularly performs these duties:
Coordinates with accounting, lease administration and other departmental personnel to ensure that all accounting functions are performed accurately and the resulting financial reporting is prepared and delivered to the client within agreed upon timeframes. The Property Manager is responsible for preparing the annual operating budget and then managing income and expenses in compliance with the client approved budget. He/She aggressively monitors monthly rent payments and initiates appropriate collection procedures to mitigate delinquencies. He/She also ensures that property invoices are reviewed, approved and processed on a timely basis. Works with appropriate maintenance staff and various contractors to ensure that each property under management operates in a safe and efficient manner with a focus on tenant satisfaction/retention. Oversees the scheduling of maintenance labor, including planned absences, to ensure adequate coverage is provided at each property during normal operating hours and in the event of planned afterhours work or emergency situations. Manages vendor relationships to ensure the client receives the best value for contracted good and services. He/She regularly monitors vendor performance and competitively bids all service contracts. Regularly inspects each property managed with the appropriate maintenance staff or contractors to detect and promptly address any deficiencies found. Engages with brokers or other marketing personnel, maintains attractive curb appeal and controls expenses to enhance market competitiveness and facilitate the leasing process. Coordinates with architects, engineers, project managers, maintenance staff and construction personnel to oversee and deliver capital tenant and building improvements with as little disruption to normal property operations as possible. Assists senior departmental management with the transition of property assignment into and out of the company portfolio and other various departmental initiatives as required.
Qualifications
This position requires:
Bachelor’s or Associate’s degree required. Industry training and trade designations preferred. A minimum of five (5) years of related experience required.
The Successful Incumbent Will Have
The Property Manager must be well rounded and have a solid grasp of a variety of professional disciplines including accounting, financial reporting, enforcement of legal documents such as leases and service contract, customer service and communication, insurance, tax matters, personnel management, building operations, construction and marketing. He/She must be highly proficient in the use of standard business software tools like Word, Excel and PowerPoint, as well as, specialty property management financial reporting software like Yardi or MRI. Prior experience utilizing work ticket and preventive maintenance software like WorkSpeed or Building Engines is also recommended.
Supervision Responsiblities
Property Managers directly supervises maintenance staff, a Property Administrator and various contractor personnel.
People interested in this position must be comfortable working in a very fast paced environment and be able to respond to multiple, overlapping deadlines. The person should also thrive on providing excellent customer service and solving complex problems. Seniority level
