Job Description Summary: Position Overview The Executive Assistant (EA) will provide high-level administrative and project support to the Global Head, Diversity, Equity, and Inclusion (DEI) at Cambridge Associates, as well as event support for the DEI team. This role requires a proactive, self-starting leader who thrives in a dynamic environment and is passionate about advancing DEI initiatives. The EA will be responsible for managing complex calendars, coordinating travel, overseeing budget processes, supporting team events, and executing small projects such as preparing presentation decks. The ideal candidate will demonstrate exceptional organizational skills, attention to detail, and the ability to anticipate needs and act independently. Job Description: Key Responsibilities Calendar Management Manage complex and frequently changing calendars for DEI leader and calendar support for DEI events. Schedule internal and external meetings, ensuring alignment with priorities and deadlines. Coordinate across time zones and with multiple stakeholders. Travel Planning Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries. Prepare and reconcile travel expense reports. Budget Responsibility Track and monitor team budgets, process invoices, and manage expense reports. Liaise with finance to ensure accurate and timely budget reporting. Support annual budget planning and forecasting. Event Support Organize and execute logistics for team meetings, offsites, and DEI-related events. Coordinate with vendors, venues, and internal partners. Prepare materials, agendas, and follow-up communications. Project Support Lead and complete small projects, such as creating short presentation decks and compiling reports. Maintain project timelines and ensure deliverables are met. Resource Development Assist in the creation and maintenance of DEI resources, toolkits, and intranet content. Meeting Minutes and Action Tracking Document key decisions and action items from meetings. Follow up to ensure completion of action items. General Administrative Support Prepare correspondence and other documents. Manage confidential information with discretion. Serve as a point of contact for internal and external stakeholders. Required Skills and Qualifications Proven experience as an executive assistant or in a similar administrative role, preferably supporting senior leadership. Demonstrated ability to manage multiple priorities and projects in a fast-paced environment. Strong organizational, time management, and problem-solving skills. Excellent written and verbal communication skills. Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and virtual collaboration tools (e.g., Zoom, Teams). Experience with budget tracking and expense management. Ability to work independently, anticipate needs, and exercise sound judgment. High level of professionalism, integrity, and discretion in handling confidential information. Commitment to and passion for diversity, equity, and inclusion. Additional Skills Technology Adaptability: Ability to quickly learn and leverage new software platforms (e.g., project management tools like Asana, Trello, or Monday.com; document management systems; or DEI-specific platforms). Social Media Support: Experience drafting or reviewing communications, newsletters, or social media posts related to DEI initiatives. Proficiency with project management and collaboration tools (e.g., Asana, Trello, SharePoint). Strong interpersonal skills and cultural competence. Ability to handle confidential and sensitive information with discretion. Experience supporting change management or organizational development initiatives. Preferred Qualifications Experience supporting senior leaders and managing project execution. Familiarity with event planning and project management tools. Bachelor’s degree or equivalent experience. Base salary range for this role Pay Range Minimum: 85600 Pay Range Maximum: 111200 In addition to the listed salary range, this position is eligible for an annual performance-based bonus and a comprehensive, competitive benefits package. Actual placement within the stated salary range will be determined based on factors such as skills, experience, and qualifications, as well as internal equity.
