As a Closing Coordinator, you’ll play a vital role in ensuring that transitions are smooth, compliant, and well-communicated.

About the Role The Closing Coordinator serves as the liaison between real estate professionals, attorneys, lenders, and internal teams to facilitate the closing process for resale transactions. This role requires strong attention to detail, administrative precision, and the ability to maintain professionalism and confidentiality in a fast-paced environment.

What You’ll Do Manage incoming closing requests from realtors, attorneys, lenders, and title companies.

Prepare and process closing documentation in alignment with community-specific requirements.

Respond to inquiries from Resident Services, Community Managers, Association Coordinators, and external parties.

Assist with mail handling and serve as backup for the administrative team as needed.

Coordinate and maintain access programming for pools and gates, ensuring compliance with documentation and fee requirements.

Organize and update association information including assessment amounts, insurance, and leasing restrictions in GetDocsNow.

Track insurance and lease compliance for participating communities in coordination with internal teams and homeowners.

Maintain confidential records and association documentation with discretion.

Work independently and as a collaborative team member to meet department goals.

Requirements What You’ll Bring High School Diploma or equivalent required; associate degree or equivalent experience preferred.

1–3 years of experience in an administrative office setting.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Strong time management, multitasking, and organizational skills.

Excellent written and verbal communication.

Experience working with real estate, legal, or homeowner association documentation is a plus.

Strong attention to detail, confidentiality, and customer service orientation.

Schedule & Work Environment Full-time, 40 hours per week (Monday–Friday, 8:00 AM – 5:00 PM).

Minimal safety hazards; general office conditions.
