SUMMARY: Under basic supervision, performs general clerical support duties to ensure the smooth
functioning and operation of the school site office. Processes and maintains various documents, reports, and
paperwork.
PRIMARY DUTIES AND RESPONSIBILITIES: Essential functions, as defined under the Americans with Disabilities Act, may include any of the following representative duties, knowledge, and skills. The job description is subject to change at any time by the employer. Essential duties and responsibilities may include, but are not limited to, the following:
  • Greets students, parents and other site visitors. Maintains volunteer/visitor log.
  • Answers phones and responds to inquiries. Records complaints and concerns. Directs calls to appropriate staff member.
  • Maintains record of teacher and staff attendance.
  • Coordinates guest teachers, period substitutes and reconciling completed assignments.
  • Maintains individual student files, including cumulative files.
  • Completes copy orders.
  • Collects, records and distributes reports for student fees from athletics, trips, clubs and functions.
  • Assists with the processing purchase requisitions from departments and staff members.
  • Assists with compiling and maintaining inventory of supplies and assets.
  • Copies, scans, collects and distributes information for teachers, administrators, parents and students.
  • Creates and maintains reports, lists, and forms to assist with tracking student and teacher information.
  • Sorts and distributes mail. Coordinates mailings.
  • Assists with scheduling parent teacher meetings and communicates student information to parents, Administration, and staff.
  • Completes other duties as assigned or required.
MINIMUM QUALIFICATIONS:
Education and Experience:
  • High school diploma or equivalent; AND two (2) years of clerical office experience; OR an equivalent combination of education, training, and experience.
Required Knowledge of:
  • Principles and procedures of recordkeeping, reporting, and retention.
  • Principles and practices of effective project management.
  • Telephone etiquette.
  • Practices and methods involved in providing quality customer service.
  • District, School Board and School/Department policies and procedures.
Required Skills in:
  • Establishing and maintaining cooperative working relationships with coworkers and other individuals in contact during the course of work; communicating clearly and concisely.
  • Operating a personal computer utilizing standard software such as Microsoft Office and some specialized software; functioning standard office equipment.
  • Working independently with little or no supervision.
  • Creating and maintaining an accurate filing system.
Physical Demands/Work Environment:
  • Work is performed in a standard office environment.
