New Mexico State Veterans¿ Home is located on sixteen picturesque acres in Truth Or Consequences, New Mexico. It provides long-term and skilled nursing services for honorably-discharged veterans, their spouses, or parents of veterans killed in combat action. The facility has 131 nursing home, skilled-nursing living beds. Services for residents are provided 24/7, focusing on maintaining or improving their physical, mental, and psychosocial well-being under a personalized plan of care developed by licensed health professionals
Why does the job exist?
Administrative assistants provide high-level administrative support for an office and for top executives of an organization. Generally, they perform fewer clerical tasks than secretaries do with more information management tasks. In addition to arranging conference calls and supervising other clerical staff, they may handle more complex responsibilities such as reviewing incoming memos, submissions, and reports to determine their significance and to plan for their distribution. They also prepare agendas and make arrangements for meetings of committees and executive boards. They may also conduct research and prepare statistical reports.
How does it get done?
Key Responsibilities:
Scheduling & Coordination; Schedule and coordinate resident transportation for medical appointments, dialysis, therapy, community outings, and other approved activities.; Ensure transport requests are prioritized based on resident needs and medical urgency; Maintain a master transportation calendar and communicate changes promptly to nursing, activities, and families.
Documentation & Compliance:
Maintain accurate transportation logs, mileage records, driver schedules, and resident transport documentation. Ensure all required forms (consent, trip logs, incident reports) are completed and filed per regulatory requirements. Verify that drivers¿ licenses, certifications (e.g., CPR), and vehicle inspections are current.
Communication
Act as the primary point of contact for families, residents, and facility staff regarding transportation arrangements; Communicate scheduling changes or delays to appropriate parties in real time.
Resource & Fleet Management Track vehicle maintenance schedules and coordinate service to minimize downtime. Monitor fuel usage and submit reports to the business office. Ensure vehicles are stocked with required safety equipment and supplies. Support for Department Leadership Assist the Transportation Supervisor/Director in developing policies, route planning, and driver assignments. Prepare and distribute transportation performance reports and QAPI data.
Training & Orientation Support
Maintain records of driver training and safety meetings. Assist in onboarding new drivers with facility policies and trip procedures. Coordinate Transportation Services; Schedule, assign, and adjust resident transportation for medical appointments, therapy, activities, and community outings. Ensure transportation meets resident care plans and physician orders. Maintain Transportation Record. Accurately document trip requests, mileage, maintenance logs, driver schedules, and resident transport records. File and store documentation in compliance with facility policy, HIPAA, and state/federal regulations.
Facilitate Communication
Serve as the primary contact for transportation inquiries from residents, families, and staff. Communicate changes, delays, or urgent needs promptly to all affected parties. Monitor Compliance & Safety. Verify that all vehicles meet inspection and safety requirements. Confirm that driver certifications, licenses, and required training are current. Ensure all trips follow facility safety protocols.
Support Department Operations
Assist the Transportation Supervisor with driver assignments, route planning, and departmental scheduling. Generate transportation performance and utilization reports for QAPI review. Fleet & Supply Oversight. Coordinate vehicle service and preventive maintenance. Monitor fuel levels and submit purchase records. Ensure vehicles are stocked with required safety and infection control supplies. Assist with Training & Orientation. Help facilitate driver orientation on facility policies and transport procedures. Maintain records of in-service training and safety meetings.
Who are the customers?
The primary customer are the brave men and women that answered our nations call, executed their duties and now are unable to live in their respective communities due to failing health. This job will also support the widows of the service men and women to include parents that have lost children in combat (Gold Star Parents)

Minimum Qualification
High School diploma or equivalent and two (2) years work experience in office administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.
Employment Requirements
Employment is subject to criminal background check pursuant to New Mexico Caregivers Criminal Screening Act, (Sections 29-17-2 through 29-17-5 NMSA 1978 and 7.1.9.1 through 7.1.9.11 NMAC) and is conditional pending results.
Must possess and maintain a valid New Mexico driver's license.
Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment.
Successful completion of the Health Insurance Portability and Accountability Act (HIPAA) training.
Must sign and observe confidentiality agreement.
Must be able to read, write, speak, and comprehend the English language.
Occasional travel for training & meetings and driving a State of NM owned motor vehicle may be required; Working hours may include weekends, holidays, overtime, and callback hours. Working Conditions
Work is performed in an office setting within a long-term facility with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Walking throughout the facility and frequent communication and interaction with residents, staff, and the public. Periods of walking, standing, bending pushing, pulling, lifting, and stretching for a variety of activities may be required. Must be able to function under pressure and stressful situations Health hazards such as exposure to contagious viruses and diseases. May also include routine exposure to public, fellow employees, and facility resident illness, stressful situation, and bodily fluids, as well as exposure to physical and/or verbal abuse. Occasional travel for training & meetings and driving a State of NM owned motor vehicle may be required; some lifting; extended hours to meet deadlines will be required. Working hours may include on-call, nights, weekends, holidays, overtime, and callback hours.
