The Opportunity
We’re looking for a sharp, self-directed
Executive Assistant
to the CEO
who thrives in chaos, sees around corners, and steps in before things fall through the cracks. You will be the CEO’s right hand — managing calendars, follow-ups, internal communications, sales workflows, and administrative tasks. But more than that — you will help lead the effort to bring organization and executional focus to our sales and operational functions. You’ll take notes in every meeting, follow up with next steps, own scheduling and communications, and proactively suggest and implement improvements to how things run. This role is ideal for someone who: Understands how startups operate (messy, exciting, fast-paced), Has strong emotional awareness and initiative, Can serve as a calm, reliable, process-driven counterpart to a visionary, high-performing founder. Key Responsibilities: Executive & Administrative Support: Attend and document all internal and external meetings with the CEO. Manage CEO calendar, emails, and schedule with an ability to protect focus time and balance priorities. Track tasks, action items, and follow-ups — own “what’s next” across meetings. Manage inbox triage and light correspondence with prospects and partners. Coordinate travel, meeting logistics, and presentations. Sales Support & Process Management: Assist with lead generation, outreach tracking, and CRM updates (Streak or Salesforce). Follow up on inbound and outbound leads and make sure no opportunity gets dropped. Prepare one-pagers, pitch decks, and sales collateral ahead of meetings. Monitor progress of proposals, contracts, and sales activities. Own internal sales tracking tools and implement system improvements. Communications & Branding Support the CEO in developing professional, clear, and timely communications. Assist with managing website content, social media presence, and external messaging. Help coordinate marketing and business development campaigns when needed. Who You Are: Emotionally aware, proactive, and thrives in ambiguity. Deeply organized and able to keep others on task without being asked. A natural problem-solver who enjoys improving systems and processes. Confident and capable communicator — verbally and in writing. Curious, fast-learning, and tech-savvy. You can pick up tools quickly. Requirements: Proficiency in Google Workspace, CRM systems (Streak, Salesforce, etc.), Slack, and project management tools. 3+ years of experience in executive support, sales coordination, or operations in a high-paced environment. Experience supporting a C-level executive, preferably at a startup. Strong written communication and light marketing/branding familiarity is a plus. Nice to Have Background in SaaS, aviation, or technical services. Bachelor's degree in Business, Communications, or related field. Prior experience with lead generation, sales development, or customer success. Understanding of professional services or high-touch B2B environments.
