Corewell Health Grand Rapids Hospitals Fred & Lena Meijer Heart Center has provided high-quality services to the West Michigan community since 2004. We are a leader in heart and vascular care in the region, state, and nation. And, we are the only hospital in the Grand Rapids area that provides open heart surgery and transplants. Our team of cardiovascular experts works collaboratively in a multidisciplinary environment to provide heart care that addresses the needs of our patients. We offer heart specialist in 13 counties who can provide heart and vascular care. At our Corewell Health Fred & Lena Meijer Heart Center our experts perform everything from bypass to vascular surgery and heart and lung transplants. The Frederik Meijer Heart & Vascular Institute consists of three divisions including Cardiovascular Medicine, Vascular, and Cardiothoracic Surgery and places a strong emphasis on research, education, and the delivery of patient care. In this role, you will provide support a small number of physician and operational leaders at the Director level. You will serve as a partner to these individuals, assisting with a variety of tasks including scheduling, calendar management, preparation of presentations, coordination of meetings, etc. Provides administrative support for Director level positions through the appropriate use of technology and/or other tools. Assists with the day-to-day operations of the department and provides excellent customer service. Exhibits initiative, ability to multi-task and knowledge to meet deadlines, handle multiple priorities, and build trust and credibility with the leadership team. Provides administrative support for Senior Director level and above positions through the appropriate use of technology and/or other tools. Utilizes the appropriate technology and software application to maximize efficiency and effectiveness of department workload including timekeeping editing, managing SharePoint pages, and processing invoices. Greets and communicates in a manner consistent with the organizations core values, and follows established policies for confidentiality. Answers telephone, takes messages, welcomes visitors and provides/relays information in a manner consistent with hospitality standards. Uses problem solving and marketing skills to communicate in a position of high visibility. Independently composes original correspondence, prepares and disseminates meeting agendas, minutes and supplementary materials as needed, and updating websites with minutes, meeting information, board members, etc. Performs/coordinates office duties such as sorting/distributing mail, copying, filing, faxing, completing forms, and ordering/maintaining equipment/supplies. Schedules meetings, appointments, and manages calendars for directors. Uses independent judgments regarding priorities/rescheduling and initiating communication and activities in order to ensure an efficient calendar of events. Arranges for meetings and makes travel arrangements as needed. Collects, compiles and prepares data for analysis and develops systems that facilitate tracking of data. Independently maintains accountability for completion of assigned projects. Ensures confidentiality of all sensitive information, data, and communications in order to protect privacy, maintain confidentiality and protect the organization. Qualifications: Required Associates Degree or equivalent business, office administration, secretarial science, or related field Preferred Bachelors Degree related field 3 years of relevant experience Secretarial or administrative support Required Ideal candidate will be an Administrative Assistant with Cardiology experience or an Administrative Assistant/Administrative Candidate who is very organized and proactive, with strong time management and prioritization skills; someone who is a go-getter and able to work independently, but who also possesses very strong collaboration skills and who is able to successfully interact with people in a variety of positions, at a variety of levels Strong Communication Skills, Positive Attitude, and MS Office Proficiency would be ideal, especially PowerPoint, Outlook, Teams, Copilot Schedule for this position will generally be Monday to Friday, 8 a.m. to 5 p.m., but needs will fluctuate based on certain meetings and requirements; some days may require an earlier start with an earlier end time due to meetings schedules This is a Hybrid position entailing 2-3 days per week On-Site
