Executive Assistant to the President / CEO of an amazing non-profit organization
Salary: $70,000-$80,000 + paid overtime + great benefits / perks
Location: Westside LA, hybrid
Our client is seeking an Executive Assistant to join the team and serve as a key support person to the President / CEO, providing a broad range of administrative, logistical, and organizational support. This includes managing high-level calendars, scheduling meetings, coordinating travel arrangements, registering for events, handling correspondence, and ensuring smooth day-to-day operations.
Key Responsibilities :
Offer comprehensive administrative assistance to the CEO, including managing complex schedules, organizing meetings with internal and external stakeholders, coordinating with local government and business leaders, and maintaining organized records and files.
Organize and participate in board meetings, committee sessions, and roundtable discussions—take accurate meeting minutes.
Handle full event registration logistics for the CEO, including booking flights, accommodations, processing payments, updating calendars, and maintaining records.
Provide front-line reception by welcoming guests, answering calls, and directing inquiries professionally and courteously.
Support organizational events, assisting with setup and guest interaction.
Maintain confidentiality and exhibit professionalism in all interactions and communications.
Draft and format official correspondence, reports, presentations, PDFs, and other professional documents as needed.
Maintain and update digital databases, produce reports, and assist with data entry and analysis.
Conduct errands such as deliveries and pickups when required.
Organize and maintain electronic files, spreadsheets, and physical documentation such as printed binders.
Qualifications and Requirements :
Strong professional presence with a can-do attitude and excellent interpersonal skills.
3–5 years of administrative experience, ideally supporting multiple leaders or executives.
Proven ability to coordinate events and manage multiple tasks simultaneously.
Strong organizational and time management skills with keen attention to detail.
Proficient in Microsoft Office Suite, Mac OS, and database management.
Excellent verbal and written communication skills.
