Job Description
Summary:
The Academic Affairs (AA) Manager oversees and executes course scheduling and curricular changes for the School of International Service. The AA Manager will be responsible for timely curricular scheduling and changes that are in line with the vision and strategy of the SIS administration. The AA Manager will work directly under the supervision of the Associate Dean for Undergraduate Education, and work closely with the Associate Dean for Graduate Education. To oversee course scheduling and curricular reforms, the AA Manager will be responsible for coordinating with stakeholders within SIS, including the undergraduate and graduate programs, Faculty Affairs, the departments, curricular coordinators/administrators, the Education Policy Committee (EPC), the SIS advising teams, and the online, international, and pre-college programs. Beyond SIS, the AA Manager will coordinate and liaise with multiple teams within the Office of the University Registrar (OUR) as well as with departments and scheduling staff in other AU schools/units to ensure that SIS curricular requests conform with AU procedures. This position will require a strong grasp of the school’s and University’s procedures and IT systems.
Essential Functions
- Academic Affairs Process and Data Management
- The Academic Affairs Manager works with the Associate Deans for Undergraduate and Graduate Education to develop, oversee, and improve the timeline and processes for course scheduling and catalog changes.
- The AA Manager communicates the timeline and processes to SIS curricular stakeholders, and will implement accountability measures to ensure adherence.
- They work with the Office of the University Registrar to ensure that the SIS timeline and processes are coordinated and conform with the university-level timelines and processes.
- The Academic Affairs Manager is responsible for academic affairs data management and analysis of curricular offerings and scheduling.
- The AA Manager works with the OUR, SIS departments, and SIS undergraduate and graduate programs to use and analyze data from AU central databases.
- The AA Manager trains others on pulling data from central databases and using the data to inform curricular decisions.
- They assess if there are academic affairs data needs unmet by university-level systems, advise the Associate Deans for Undergraduate and Graduate Education on any such SIS-specific data collection needs, and implement and oversee appropriate data collection processes to address these needs.
- The Academic Affairs Manager identifies if there is a need for part-time data entry tasks at particular times during the year above and beyond their own workflow, and if so, are responsible for organizing the conduct of such work and training on the relevant systems.
- Course Schedule Creation Management
- Under the direction of the Associate Deans the Academic Affairs Manager coordinates and manages the creation of course schedules.
- They advise the Associate Deans for Undergraduate and Graduate Education in developing course projections at the undergraduate and graduate levels, communicate with departments and other scheduling stakeholders regarding their scheduling responsibilities and decisions, monitor the overall schedule as it takes shape, coordinate the submission of the initial schedule to the OUR, and train staff on the relevant systems as needed.
- The AA Manager also works with SIS Faculty Affairs to coordinate on adjunct appointment and course scheduling.
- Course Schedule Change Coordination
- After the OUR makes the schedule available for changes, the AA Manager works with the Associate Deans to identify and communicate with departments and other SIS curricular stakeholders about needed course additions and cancellations.
- Submit and monitor Course Schedule Change requests to the OUR.
- Alert enrolled students when a course section is cancelled or its meeting time must be changed.
- Work with relevant offices to prepare tuition and fee forms, and supervise internal SIS-data entry as needed to maintain an accurate record of course offerings.
- Curricular and Catalog Change Coordination
- The Academic Affairs Manager supports the Associate Deans for Undergraduate and Graduate Education in developing the strategy for curricular offerings at the undergraduate and graduate levels.
- They are the point person for other SIS curricular stakeholders, such as departments, as they develop and implement goals for changes in the portions of the curriculum they oversee.
- The AA Manager ensures that curricular changes at different levels (course vs. program changes) and involving different curricular stakeholders are coordinated and in line with the central strategy and departmental goals.
- The Academic Affairs Manager works with the Associate Deans for Undergraduate and Graduate Education and with the departments to ensure that SIS’s section of the University Catalog is updated to reflect course and program changes.
- They consult with departmental staff regarding catalog changes for courses and programs overseen by departments, and submit and track the progress of catalog change proposals for areas of the curriculum not overseen by departments.

- $58,263-$63,000 annually.
- Bachelor's degree or equivalent.
- 3-5 years of relevant experience.
- Knowledge of the Microsoft Office Suite, including PowerPoint, Word, and Excel.
- Advanced computer proficiency, including knowledge of building and manipulating spreadsheets.
- Strong written and oral communications and interpersonal skills.
- Excellent organizational skills, attention to detail, and the ability to manage multiple priorities.
- Ability to work collaboratively and respectfully with diverse constituencies.
- 5-8 years of relevant experience.
- Knowledge of data management systems, such as the Filemaker Pro Database.
- Experience with Workday.
- Familiarity with academic settings.
- Interest in and/or experience with the field of international studies.
- Experience managing curricular strategy, goal-setting and changes.
