Unicorn health tech company is looking for a Personal Executive Assistant to support their CEO. This is a great opportunity to support a wonderful family that values long-term relationships. In this role, you will partner with and report to the Senior Executive Assistant to ensure seamless integration between professional and personal commitments for the CEO. You will manage personal and family calendars, organize travel logistics and trip planning, oversee residential property management, including serving as the point of contact for service providers, and manage special events. Someone with the utmost discretion who anticipates needs and pivots effortlessly with shifting priorities. Previous experience supporting C-level executives or UHNWI with security protocols is highly desired. This is a hybrid role, 2 days/week on-site support at the San Francisco residence and their temporary Peninsula home later this year. Flexibility to be on-site more as needed, and must have reliable transportation. 140-150K + generous health benefits, 401k, unlimited PTO, and wellness benefits.
Responsibilities:
- Partner with the Senior Executive Assistant to align professional and personal calendars, ensuring smooth coordination of appointments and commitments.
- Organize in-person meetings at various locations and provide on-site support.
- Coordinate travel arrangements for the CEO and family, including transportation, accommodations, and activities. Manage detailed itineraries and anticipate needs while traveling.
- Oversee maintenance, repairs, and renovation projects across multiple properties.
- Coordinate with contractors, designers, and service providers.
- Oversee household moves and relocations, including an upcoming temporary move to a Peninsula residence.
- Manage event logistics. Manage guest lists, coordinate with caterers, and ensure events run smoothly. Provide on-site support for dinners and gatherings when needed
- Coordinate and work closely with the security team to ensure all scheduling and logistics are conducted safely and discreetly.
- Serve as primary backup during the Senior EA's absence.
- Handle ad hoc tasks and urgent requests.
Requirements:
- 4+ years of experience as a Personal Assistant, Estate Manager, or similar role, supporting senior executives or UHNWI.
- Highest level of discretion and professionalism. Safeguard sensitive information with the utmost care and integrity.
- Exceptional organizational and time management skills.
- Flexible and strong ability to manage shifting priorities.
- Ability to work independently while maintaining clear communication.
- Valid driver's license and reliable transportation.
- Availability for occasional evening and weekend events.
