Job Description:
The Accounting Specialist will be responsible for supporting key financial operations, with a focus on accounts payable, accounts receivable, billing, and general ledger support. This individual will also assist with payment processing, respond to vendor and client inquiries, and maintain accurate financial records. The ideal candidate is detail-oriented, well-versed in QuickBooks Desktop, and comfortable working independently and as part of a team.
Key Responsibilities:
Process accounts payable and accounts receivable transactions
Prepare and issue accurate customer invoices
Record and apply payments received; follow up on outstanding balances
Reconcile vendor statements and resolve discrepancies
Generate and review aging reports
Enter financial data accurately in QuickBooks Desktop and Excel
Assist in month-end closing and basic financial reporting
Answer and direct phone calls in a professional manner
Maintain organized digital and physical files
Provide general administrative support to the accounting team as needed
Qualifications:
Required:
Minimum 5 years of accounting experience, with exposure to AP, AR, and billing functions
Proficiency with QuickBooks Desktop and Microsoft Excel (including basic formulas and spreadsheets)
Strong organizational skills and attention to detail
Excellent communication and customer service skills (phone etiquette a must)
Ability to manage multiple tasks and deadlines independently
High level of accuracy and accountability
Preferred:
Associate or Bachelors degree in Accounting, Finance, or related field
Experience working in a small business or multi-functional role
