Job Title
Provide coordination and support to the operations team based at the corporate office. This will support our Vice President of Food & Beverage, Corporate Director of Food & Beverage, Head of Culinary, and Corporate Executive Chef. This is an
in office role
based out of the Omni Corporate Office, Monday through Friday. Responsibilities
Communicate directly with internal and external stakeholders on multiple projects Assist with travel arrangements Assist with recurring meetings, including, but not limited to, room and AV set up, agenda compilation and minute taking Strong interpersonal skills for communication and collaboration between departments Assist with Executives expense report assembly routing, and tracking Handle special projects as assigned Assist with assembly of PowerPoints and presentation materials Liaise with internal departments and properties for executives Daily / Weekly / Monthly communication with hotel executives and executive assistants Calendar management Assist with invoicing and rebills for department Assembly of extensive trip files pre and post Monthly reporting Composing Memos and Agendas Work closely with operations department Schedule, coordinate and facilitate technology for Webinars, and conference calls Update contact lists and email distribution lists for corporate and hotel/resort information Assist on extremely confidential documents, such as performance reviews, bonus incentive payouts, and similar Collection and archiving of personnel documents (Performance Evaluations, KRA, Bonus/Incentive sheets, Organizational Charts) and contracts with third parties Field and distribute mail to operations department Update intranet and other internal sites Ad-hoc projects for the operations team Qualifications
Must be extremely proficient in Excel, Word, PowerPoint and Outlook Ability to work extended hours when needed Ability to work independently with minimal supervision Ability to maintain strict confidentiality Must be highly organized and have the ability to multi-task and shift priorities as needed Professionalism is a must!
