We are seeking an experienced and proactive Personal Assistant to support a senior Private Wealth Advisor. The ideal candidate will have prior experience in the financial advisory or insurance industry, particularly in handling insurance policy servicing, client communication, and administrative support in a fast-paced, client-centric environment. Key Responsibilities
Provide comprehensive administrative and secretarial support to the Private Wealth Advisor. Handle policy servicing tasks including policy summaries, policy illustrations, and renewals. Liaise with insurance companies to check policy statuses, submission requirements, and follow-ups. Prepare client meeting materials, including financial summaries, insurance documentation, and presentations. Manage and coordinate appointment scheduling, calendar management, and reminders for client meetings. Handle client communications, including calls, emails, and WhatsApp correspondences professionally and promptly. Assist in organizing client appreciation events and gifting arrangements. Maintain accurate and up-to-date client records and filing systems. Prepare and submit applications, monitor approvals, and ensure compliance with internal and regulatory requirements. Support the team in any other ad hoc administrative duties as assigned. Requirements
Minimum 2 years of relevant experience as a Personal Assistant in a financial advisory, wealth management, or insurance setting. Proficient in reading and summarizing insurance policy illustrations and understanding of financial planning concepts. Comfortable liaising with clients and insurance providers directly. Strong organizational skills with the ability to multitask and prioritize effectively. High level of professionalism, discretion, and confidentiality. Excellent communication skills in English (spoken and written); additional languages are a plus. Proficient in MS Office (Word, Excel, PowerPoint). EA License No: 23C1703
