Summary: The Payroll Administrator II (Canadian Payroll) administers and performs operations involving the processing of time and earnings records of all employees, resulting in the biweekly distribution of payroll checks in compliance with federal/provincial regulations, company policies and procedures. Essential Duties and Responsibilities include the following and other duties may be assigned.
Process a full cycle payroll for more than 600 employees in a timely manner and with accuracy Monitor and maintain the timekeeping for employees and train supervisors on timekeeping practices Balance and reconcile each payroll before transmission Provide GL files and reporting to Finance to account post payroll transmission Handle various payroll adjustments such as retros, corrections and termination Validate and process payroll deductions such as direct deposit, shoe loans, and garnishments Ensure compliance with company, human resources and payroll policies Ensure compliance with Quebec wage and hour guidelines, payroll taxes and reporting requirements Process record of employment (ROE) for termination and leaves Strong organization skills, attention to detail and follow-through to resolve any outstanding issues Appropriately communicate with all levels of company employees Elevate payroll issues or concerns to management to ensure internal control processes are followed Maintains payroll files and documents as required and prepare ad hoc reports as needed Process payroll related electronic payments to insurance carriers and governmental agencies Flexibility and ability to complete various tasks, and work various schedules assigned to meet the company’s business needs, and covers as back up for other payroll admins for all payroll functions as needed Responsible for complying with the rules and regulations set forth by federal, local, and provincial government

• Associate's degree or equivalent from two-year college and/or payroll certification • A minimum 3 years working experience with processing Canadian payroll • Working experience of general accounting and/or payroll procedures • A minimum of 5 years equivalent combination of education and payroll experience
Language Skills Ability to read and comprehend correspondence and basic technical procedures. Must be able to write basic reports and business correspondence. An ability to effectively present information and respond to questions from groups of managers, clients, customers, and to the general public. Mathematical Skills Ability to apply basic mathematical concepts and calculations (addition, subtraction, multiplication, division, ratios and standard units of measurements. Understands and has working knowledge of financial and accounting principles. Able to process high volumes with consistency and speed.
Reasoning Ability Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract concrete variables. Computer Skills To perform this job successfully, an individual should have knowledge of Microsoft Word; Accounting software; Database software; Human Resource systems; Internet software; Payroll time & attendance systems, Microsoft word and Microsoft excel software.
