About the Role
The CFO serves as the administrative leader, overseeing and coordinating operations, financial administration, risk management, human resources, and facilities. As a key member of the Leadership Team, the Vice President will play a crucial part in maintaining the financial operations of the association and be instrumental in balancing the organization’s mission with financial sustainability through navigating the intersections of robust membership programs, revenue generation, strategic investments, and spend management. This leader will collaborate closely with the President and CEO, Board Treasurer, and Board Finance and Audit Committees.
Your Role in Action
Strategic
- Serve as a strategic partner to the CEO, Board of Directors, and executive team on all financial and administrative matters. - Lead long-term financial forecasting, scenario planning, and risk management strategies. - Contribute to the development and execution of the organization’s strategic plan. - Serve as staff liaison to the Finance and Audit Committees of the Board. - Manage long-term budgetary planning and cost management. - Collaborate with various department heads to ensure accurate financial alignment, cash projections, and strategic planning.
Financial Management
- Oversee the Association’s financial landscape, including managing the Association’s operational budget of approximately $10 million, and serve as the liaison for its investment portfolio of approximately $9 million. - Oversee all aspects of the Association’s finances, including accounting and tax filings, audits, risk management, and financial planning and analysis and ensure compliance with GAAP, IRS regulations, and all applicable federal, state, and local laws. - Lead the annual audit process and coordinate with external auditors and the Audit Committee. - Develop and implement internal controls, financial policies, and procedures to ensure transparency and accountability. - Communicate finances through reports, dashboards, and metrics to Staff, the Board of Directors, and Finance and Audit Committees of the Board. - Closely manage cash flow in accordance with cash management, spending and investment policies.
Human Resources
- Oversee all human resources activities, to include providing oversight of new hires, terminations, payroll, and employee benefit plans and renewals (medical, dental, vision, FSA, etc.) - Maintain relationship and collaborate with our benefits broker on open enrollment and benefits related updates. - Collaborate with the Human Resources provider on human resources issues and communications from finance and compliance perspectives. - Supervise the HR function to ensure equitable policies and practices in recruitment, benefits, compensation, performance management, and employee relations. - Ensure compliance with all reporting regulations, including 403b regulatory reporting requirements, annual 5500 filing, and quarterly payroll tax filings. - Support professional development, succession planning, and workforce well-being initiatives.
Facilities Management
- Manage real estate leases and terms and serve as liaison with real estate broker. - Oversee selection, acquisition, and maintenance of all office equipment. Review equipment leases and/or purchase agreements and negotiate terms on such agreements. - Monitor facilities and space planning issues, including any planned office relocation/reconfiguration, facility repairs, leasehold improvements, and general maintenance.
Administration
- Complete annual business registrations with DC, VA, and Arlington County, as well as Annual Meeting host cities and ad-hoc requirements. - Oversee risk management, insurance coverage, and organizational compliance with contracts and legal requirements. - Build and mentor a high-performing finance and administrative team. - Perform other related duties and special projects as assigned.
