Position Overview: The Divisional Onboarding Specialist is responsible for managing pre-hire tasks and facilitating onboarding to ensure that new CCM employees and branches are set up for success from day one. This hybrid role leverages exceptional collaboration skills and attention to detail to create a seamless onboarding experience for new hires joining the division. In addition, the Divisional Onboarding Specialist is responsible for various administrative tasks in support of the division.
This position primarily operates within Pacific Time zone working hours to support the West Coast region. Job Responsibilities: Conduct introductory calls with new hires to set expectations and outline the next steps. Coordinate ordering, delivery, and tracking of equipment for new hires. Schedule IT appointments for new hires to facilitate system access and technical support. Develop first-week training schedules for new hires. Work with the CCM Marketing Manager on outstanding tasks. Maintain an up-to-date employee list for the division. Add or remove employee information and branch codes in the system to maintain accurate records. Send new hire information to be added to the appropriate distribution lists. Create support tickets to grant system access for newly established branches. Track employee milestones by recording birthdays and work anniversaries. Coordinate with HR to obtain new hire lists as needed. Monitor and confirm completion of mandatory training by specified deadlines. Follow up on continuing education and state license obtainment to ensure compliance. Assist in updating CCM’s Business Development Training Library with current resources. Create marketing flyers and related material. Troubleshoot and resolve issues in LO One and Total Expert platforms. Perform additional duties as assigned. Qualifications and Skills: Associate’s degree or equivalent combination of education and experience, preferred. Experience managing multiple concurrent projects with effective task prioritization to meet deadlines. Experience maintaining professional conduct and applying a solution-focused approach to support collaboration. Excellent communication skills. Excellent organizational skills with attention to detail. Skilled in problem-solving, resourcefulness, and adaptability. Experience with Microsoft Office Suite (Excel, PowerPoint, Word).
