Job Description Description: Position Summary The Office Administrator, with accounting focus will serve as a key member of Epic, providing critical support in day-to-day office operations while maintaining accuracy in billing, accounts receivable (AR), and accounts payable (AP). This role requires strong organizational skills, attention to detail, and the ability to professionally interact with clients, vendors, and internal staff. The successful candidate will balance front-office responsibilities, such as greeting visitors and answering phones, with essential accounting and administrative functions that support the overall success of our beverage manufacturing and co-packaging operations. Requirements: Essential Duties & Responsibilities Other duties may be assigned as needed. Accounting & Finance Support Support Client Services; process customer billing, generate invoices, and apply payments and account reconciliation. Monitor accounts receivable; follow up on outstanding balances in a professional and timely manner. Review and process accounts payable, ensuring accuracy and adherence to company policies. Reconcile vendor statements and resolve discrepancies. Support month-end closing tasks and financial reporting as requested. Maintain accurate filing systems for all financial records, invoices, and purchase orders. Administrative Support & Office Operations Serve as the first point of contact by greeting clients, visitors, and vendors in a professional manner. Answer, screen, and direct incoming phone calls and emails. Maintain general office filing systems (digital and physical) in an organized and efficient manner. Order and manage office supplies and assist with facility service requests. Support scheduling of meetings, conference calls, and client visits as needed. Assist with document preparation, scanning, and recordkeeping to support cross-departmental needs. Client & Vendor Relations Provide courteous and efficient support to clients during in-person visits or phone/email inquiries. Collaborate with the procurement and production teams to ensure accurate billing tied to production runs. Assist vendors with payment questions and required documentation. Qualifications Education:
Associate’s degree in accounting, Business Administration, or related field preferred; equivalent work experience considered. Experience:
Minimum 2–3 years of combined office administration and accounting support, preferably in manufacturing, food/beverage, or related industries. Skills:
Strong knowledge of accounts receivable, accounts payable, and billing procedures. Proficiency with accounting software (QuickBooks Online preferred) and MS Office (Word, Excel, Outlook). Excellent organizational, multitasking, and time-management skills. Strong written and verbal communication skills. Professional demeanor when interacting with clients, vendors, and team members.
Work Environment & Physical Demands Office environment within a beverage manufacturing facility. Must be able to sit, stand, and walk for extended periods. Occasional lifting of up to 25 lbs may be required for office supplies or files.
