Job Summary The Administrative Assistant will serve as direct support to our COO while also providing critical administrative support to the entire team. This role requires exceptional communication skills, meticulous note-taking abilities, and outstanding follow-through. You'll handle a range of administrative tasks including scheduling, creating SOPs, managing data, and preparing reports, while also taking on light project management responsibilities in our dynamic startup environment.
This position requires someone who can meet deadlines, track metrics, and adapt quickly to changing priorities.
Key Responsibilities Executive & COO Support Provide direct administrative support to the COO including calendar management, meeting coordination, and priority task tracking Take detailed, accurate notes during meetings and distribute action items with clear follow-up timelines Ensure consistent follow-through on all assigned tasks and commitments Track and report on key performance metrics and deadlines for COO and leadership team Prepare briefing materials and reports for executive-level meetings
Team Administrative Support Schedule and organize meetings for team members, including setting up appointments, coordinating with participants, and preparing necessary materials Follow up on team action items and deliverables to ensure nothing falls through the cracks Manage team communications and ensure important information is properly distributed Coordinate cross-functional projects and maintain team accountability systems
Process Development & Data Management Develop and maintain standard operating procedures (SOPs) and create forms to streamline office processes Manage data input into various systems with accuracy standards and deadline requirements Generate regular reports on project progress, team activities, and other relevant metrics Track performance indicators and flag any issues or delays to leadership
Project Management Support Assist with light project management tasks, including tracking project timelines and updating project plans Monitor project deliverables and deadlines to ensure teams stay on track Support project coordinators with administrative needs and timeline management Adapt quickly to changing project requirements and shifting priorities
General Administrative Excellence Provide general administrative support including answering phones, handling correspondence, and maintaining filing systems Demonstrate startup agility by taking on additional responsibilities as the organization grows Work collaboratively with team members to support operational needs and maintain efficient workflow
Qualifications Required: High school diploma or equivalent; associate's degree or relevant certification preferred Proven track record of exceptional follow-through and deadline management Outstanding written and verbal communication skills Demonstrated ability to take comprehensive, accurate notes and manage action items Experience meeting performance metrics and working within tight timeframes Proficiency in Google Workspace (Docs, Sheets, Slides, Drive) and data management software Strong organizational and time-management skills with meticulous attention to detail Startup mentality: adaptable, resourceful, and comfortable with ambiguity Ability to work independently and as part of a team in a fast-paced environment
Strongly Preferred: Previous experience supporting C-level executives or senior leadership CalJobs experience Experience with basic project management tasks and tools Background in performance-driven environments Experience in consulting or grant management environments
