The Position: Registrar Assistant
Muhlenberg College is currently seeking a Registrar Assistant to support our students as part of a collaborative team in the Office of the Registrar. Characteristic Duties & Responsibilities: Student Records Process all leave of absences, returns from leave, part-time status requests and institutional withdrawals for the Registrars office. Monitor and update student status in Workday, including requests for leave, returns from leave, withdrawals, expected completion dates, etc. Track non-registered students, coordinate communication about administrative withdrawals, consult with the Assistant Dean for Academic Life and the Director of Student Support Services for updates on student status and update student records accordingly. Serve as the liaison to Division of Graduate and Continuing Education for questions related to the Graduate programs and certificates, including registration processes, leave of absences, program configurations in Workday and program completion/graduation. Student Information System Support and Troubleshooting Provide Workday support for all aspects of student registration, including maintaining registration appointments, launching continuing student onboarding, updating and maintaining the mass operations that remove advisor holds, processing forms submitted by faculty to add students to closed courses, monitoring waitlists for courses with manual waitlists to coordinate adding students to those courses, and assisting students and faculty with course registration and troubleshooting any issues via chat, email, phone or in person. Create and maintain Jotforms to supplement Workday processes, including forms for Declaration of Part-Time Status, Independent Study and Internship registration, Adding Students to a Closed Course and Application for Degree. Work closely with the departmental staff on reporting requests from faculty and staff, and support Workday reporting needs. Respond to ad-hoc requests for data that can be obtained with existing reports in Workday; create and modify reports for use within the Registrars office or to serve the needs of other departments. In partnership with the Office of Information Technology (OIT) and external Workday consultants, troubleshoot Workday issues for students, faculty and staff in all functions of Workday Student, research solutions on Workday Community, test issues in Sandbox to identify the problem and find possible solutions, and implement solutions in production after testing. Respond to questions about a wide variety of topics, including Registration problems, Academic Plan issues, Academic Progress issues, Reports for administrative tracking of student data, etc. Work with the Registrar to review proposed security changes for access to student data in Workday and coordinate their implementation with OIT. Monitor the weekly and biannual reports for Workday new release updates, develop and document Workday processes, test new functionality as it becomes available, implement updates, update departmental documentation. General Operations 25live: Create and maintain data in 25Live, coordinate course section roll from student information system to 25Live each semester, troubleshoot errors. Process classroom reservation requests, work with Conference Services to coordinate summer classroom reservations. Convey College policy accurately to students, parents, faculty, staff and the general public. Provide departmental support, including helping students at the front counter, assist with registration and add/drop processes, processing electronic and print transcript requests, student course withdrawals, pass/fail requests, late add/drop/withdraw petitions, etc. Support the day-to-day systems and technology operations of the Registrars Office; identify and resolve data discrepancies in collaboration with OIT. Provide Workday registration support; assist students and faculty with course registration and troubleshooting issues via chat, email, phone and in person. Utilize in-depth understanding of the Registrars Office business processes to anticipate the needs of constituents; represent the department in cross-campus initiatives. Friday.
