Position Summary

The Executive Assistant to the Chief Executive Officer (CEO) provides high-level administrative and operational support to the CEO of Museum of the Bible (MOTB), often working under tight deadlines and in a fast-paced environment and proactively addressing competing priorities. This position requires diverse communication & coordination with the various internal & external constituencies of the MOTB community, including the Executive Leadership Team, Board members, donors, vendors, staff, and guests as needed. The Executive Assistant must multi-task in a deadline-driven, fast-paced environment and proactively address competing priorities.

Duties & Responsibilities

Responsibilities:

Manage CEO’s email inbox and prepare internal and external correspondence, reports, talking points, and presentations

with accuracy and discretion.

Draft, edit, proofread, and organize well-researched documents, ensuring clarity, professionalism, and appropriate

formatting.

Manage a complex and dynamic calendar, including domestic and international travel arrangements, meeting

schedules, and event logistics.

Prepare and reconcile expense reports in a timely manner. Attend meetings as required; prepare agendas and accurately record and distribute minutes and follow-up action items. Coordinate monthly Museum-sponsored volunteer opportunities; serve as liaison with community partners to foster positive, ongoing relationships. Represent the CEO and the Office of the CEO in meetings, events, and communications in his absence, as needed. Coordinate all CEO and Executive Leadership Team (ELT) reporting materials for bi-annual Board of Directors meetings,

ensuring timely submission and professional presentation.

In collaboration with other Executive Assistants, manage general office supply inventory and ensure kitchen areas are

restocked and maintained.

Maintain the highest level of professionalism, judgment, and confidentiality in handling sensitive information and communication. Serve as a key liaison to the CEO’s spouse, coordinating his/her Museum-related schedule, travel, and event participation, and ensuring his/her engagements align with institutional priorities and hospitality standards. Champion the Museum of the Bible’s mission to invite all people to engage with the transformative power of the Bible Perform other duties as assigned, demonstrating flexibility and initiative.

Qualifications & Requirements

Knowledge:

Bachelor’s degree in Business or a related field preferred; or equivalent experience, or combination of education &

experience.

Over 5 years of experience in an executive support role; at least 2 years with a Chief/CEO preferred.

Skills:

Strong project management skills. Excellent written and verbal communication skills; able to compose business correspondence, including emails &

sensitive documents, with minimal direction.

Comprehensive knowledge of Microsoft Office 365 tools: Word, Excel, PowerPoint, Outlook, SharePoint, Teams,

OneNote, Forms; ease with learning software applications.

Knowledge of online expense reporting & travel tools. Working knowledge of online project management tools, such as Smartsheet, etc.

Abilities:

Must be located in the DC office of the Museum, in support of the CEO and as a point of contact in his/her absence. High personal & professional integrity; confidential & able to act with discretion. Friendly, professional demeanor; excellent inter-personal skills, with an ability to interface with a broad range of people, at varied levels within an organization and from different backgrounds. Highly organized, detail-oriented & thorough, with an ability to prioritize & multi-task in a deadline-driven environment; calm under pressure. Quick learner & reliable self-starter, with a flexible, can-do attitude Able to work both independently and in collaboration with a dispersed team & matrixed reporting. Able to maintain strong working relationships with cross-functional teams, vendors and venues. Proactive, solutions-based approach to problem-solving, with strong decision-making skills. As required, inclusion in official or incidental photographs and videos for MOTB and/or guests.
