We are hiring an Accounts Receivable Specialist to handle all income collection and billing processes for a large affordable housing portfolio. This role plays a vital part in maintaining accurate financial records, managing tenant payments, and supporting communication between finance, compliance, and operations teams. The ideal candidate is highly organized, detail-oriented, and experienced in rent billing, subsidy applications, and resident ledger maintenance.
Key Responsibilities
Income Collection & Processing
- Manage and maintain accurate resident accounts within the property management system
- Collect rental and subsidy payments from multiple sources (e.g., Section 8, FHEPS, SCRIE/DRIE, ERAP)
- Prepare and scan bank deposits and process income in compliance with accounting policies
- Perform month-end closeout and first-of-month billing processes
- Conduct write-offs, issue late notices, and escalate delinquent accounts for legal action
- Reconcile receivables and tenant ledgers weekly to ensure data accuracy and fraud prevention
- Generate and distribute tenant invoices in a timely manner
- Respond to resident inquiries via email and phone regarding account status
- Provide clear explanations of resident ledgers and billing activity
- Set up and monitor payment plans (pending manager approval)
- Liaise between residents, management, and legal teams for non-pay actions
- Assist with security deposit dispositions, residence verifications, and subsidy applications
- Maintain rent roll reports, monthly receivables logs, and collection trackers
- Support compliance, operations, and resident relations teams on ad hoc assignments (e.g., key fobs, filing, work order coordination)
- Attend internal meetings and training sessions as needed
- 2-5 years of experience in accounts receivable, preferably within property management
- Familiarity with property management software (RealPage, Sage, Yardi, or similar)
- Strong proficiency in Microsoft Excel, Word, and Outlook
- Bachelor's degree in Accounting, Finance, Business, or equivalent experience preferred
- Solid understanding of rent stabilization laws and fair housing practices
- Strong written and verbal communication skills
- Meticulous attention to detail, integrity, and organizational skills
- Bilingual (English/Spanish) preferred
