The Clinic/Practice Assistant plays a vital role in supporting the daily operations of the MGH Rheumatology Clinic. Under general supervision, this position performs a variety of administrative and clerical duties to ensure efficient patient flow and exceptional service delivery. The role involves direct patient interaction, coordination of appointments, and collaboration with clinical staff. Greet and welcome patients and visitors in a professional and compassionate manner. Assist with patient check-in and registration, including insurance verification and paperwork collection. Schedule, reschedule, and confirm appointments; manage provider calendars. Answer and triage incoming phone calls, route messages appropriately, and respond to patient inquiries with professionalism and courtesy. Maintain accurate and confidential patient records in compliance with HIPAA/PHI guidelines. Provide administrative support to physicians and clinical staff, including chart preparation, note transcription, and correspondence management. Communicate effectively with patients and families, offering guidance and support. Coordinate referrals and collaborate with other departments to ensure continuity of care. Handle billing-related tasks such as collecting copayments and verifying benefits eligibility. Understand and assist with HMO, Managed Care, and third-party insurance processes. Monitor and execute referral work queues; schedule referral-based appointments. Provide front desk coverage, including check-in/check-out and appointment follow-up. Support problem-solving and resolution of complex administrative issues for patients and providers. Participate in training and onboarding of new staff members. Adhere to infection control, safety, and hospital-wide policies and procedures. Contribute to special projects and continuous improvement initiatives as assigned. Qualifications

Education High School Diploma or Equivalent required Can this role accept experience in lieu of a degree? Yes Licenses and Credentials Certified Medical Administrative Assistant [CMAA] - Data Conversion - Various Issuers preferred Experience office experience 2-3 years required Knowledge, Skills and Abilities - Proficiency with all Office Suite, Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing. - Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate. - Communicating effectively in writing as appropriate for the needs of the audience and talking to others to convey information effectively. - Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages. - Managing one's own time and the time of others. - Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
