About the Role:

The Events Manager is responsible for overseeing the planning, coordination, and execution of high-impact events that align with brand objectives and business goals. These include trade shows, scientific conferences, investor meetings, internal employee events, influencer activations, and branded experiences.

The ideal candidate has a blend of strategic event planning, hands-on execution, and strong vendor/stakeholder management skills. They are deeply organized, resourceful, and thrive under deadlines and shifting priorities in a fast-paced biotech or consumer health environment.

Core Expectations:

Event Strategy & Planning

Develop an annual event calendar and strategy in alignment with brand campaigns, product launches, and business objectives Conduct competitive benchmarking and audience research to identify strategic event opportunities across scientific, consumer, and investor landscapes Create event briefs with defined objectives, audience profiles, success KPIs, and post-event deliverables

Event Execution

Lead full-cycle planning for multiple events per year, including: Scientific conferences (e.g., Experimental Biology, ISSN) Consumer health trade shows (e.g., Natural Products Expo West, Healthline Summit) Executive roadshows and board/investor meetings Internal events (e.g., quarterly all-hands, team offsites, holiday parties) Brand/influencer activations (e.g., pop-up events, launch dinners) Manage logistics: venue sourcing, contract negotiations, speaker coordination, signage, travel, insurance, AV, registration platforms, and run-of-show documentation Lead all day-of coordination, including setup, team prep, vendor oversight, and contingency plans

Budget & Vendor Management

Develop and manage event budgets ranging from $5,000 to $250,000+ per event Maintain accurate records of all event-related expenses and reconcile invoices Manage RFPs and negotiations with event vendors including venues, A/V teams, booth fabricators, caterers, and freelance staff

Cross-Functional Collaboration

Partner closely with marketing, product, regulatory, and creative teams to ensure brand consistency and accurate messaging at all events Support the sales team with event leads, booth materials, promotional items, and ROI tracking Serve as the primary point of contact for external agencies and event organizers

Reporting & Analytics

Define and track KPIs for each event: attendance, lead quality, engagement levels, NPS, brand impressions Deliver post-event reports with analysis, learnings, and optimization recommendations Maintain a repository of event assets and templates for future use

Qualifications and Success Factors:

Bachelor’s degree in marketing, Communications, Hospitality, Business, Life Sciences, or a related field 3–5 years of professional experience managing end-to-end events, ideally in biotech, health tech, consumer health, or life sciences Experience managing large national industry events (e.g., 500+ attendees) and niche scientific meetings Strong understanding of FDA/FTC guidelines and compliance related to medical/scientific events Demonstrated ability to manage multiple concurrent events under tight timelines Skilled in using project management and event tools such as ClickUp, Monday.com, Cvent, Splash, or Asana Experience with lead tracking software, CRM systems (e.g., Salesforce), and marketing automation platforms is a plus Willingness and ability to travel 50% - 75% of the time required Ability to lift, carry, and transport event materials (25–50 lbs) as needed
