Educational and Experience Requirement

Associates degree in related field. Three years relevant administrative assistant experience or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position

Performs advanced administrative assistant duties for the School of Teaching and Learning.

Primary Responsibilities

Performs advanced administrative assistant duties for the School of Teaching and Learning. Maintains departmental records and provides comprehensive administrative support to the Department Chair and faculty. Provides departmental or university information to students, departments, and staff. Schedules and coordinates departmental meetings, activities, faculty searches, and special events. Prepares, reviews, revises and distributes documents and correspondence for and on behalf of the department. Class scheduling and room scheduling is required. Serves as liaison between department, college administration, and university offices. Supports faculty hiring processes and personnel documentation. Maintains confidential student and faculty records in compliance with FERPA and other regulations. Performs other related duties as assigned.

Other Specifications

Requires a general knowledge of standard office functions. Requires knowledge of university procedures and practices. Knowledge of faculty workload reports and faculty hiring and academic personnel procedures. Must be able to apply policies and procedures and solve routine problems of a repetitive nature. The position requires discretion, confidentiality, and the ability to work independently in a fast-paced academic environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Blackboard learning management system and database management. Strong written and verbal communication skills. Demonstrates ability to handle confidential information with discretion. Knowledge of FERPA regulations and student privacy requirements.
