Job Description Salary: Negotiable based on experience The office administrator will provide a professional, pleasant, and energetic atmosphere in the front office. This position is responsible for providing exceptional customer service to our clients and acting as a marketing advocate to all visitors. Dependable and a positive team orientated attitude is a must. Individual must have knowledge of and perform office procedures and tasks including but not limited to the following:
Everyday Tasks
Answering phone calls, transferring calls as appropriate
Greeting customers and visitors to the office, ensuring guests are comfortable and connected with the right office personnel
Managing schedules for conference and community spaces
Managing incoming and outgoing correspondence, including emails, faxes, mail, and packages
Filing and organizing records, invoices, and other important documentation
Scheduling maintenance and repairs for general office space and equipment
Retrieving and sorting mail appropriately
Front office in orderly condition (stocked, plants, windows, magazines, cleaning)
Conference room status keeping items stocked, meeting ready Office equipment maintenance and upkeep
Staff Assistance
Responsible for preparing job folders and other job-related documents
Assist accounting department with filing
Scanning (receipts, additional employee info)
Credit applications complete, send, and file
Office supply order
Daily office requests
Customer and company event planning
Assist in check runs and mailings
Lien waivers
HR
Hiring strategies
Marketing materials on hand, prepped, and accessible
