ABOUT THE ROLE: Under the direction of the Patient Access Manager, the Medical Records Supervisor is responsible for assisting in the day-to-day operations of the Patient Access Medical Records and help with the training of medical records staff.

FUNCTIONS OF THE POSITION: Oversees the daily activities of the medical records staff, ensuring work assignments are distributed appropriately and staff are equipped with the necessary resources for success. Monitors performance, provides constructive feedback, and coaches staff to achieve departmental goals. Conducts regular training sessions, fostering professional development, and maintaining a collaborative, supportive work environment. Responsible for quality assurance within medical records processes and ensures compliance with relevant policies and regulations. Effective communication and leadership to guide the team, address challenges, and maintain high standards of service and accuracy throughout all medical records activities. Competent in the Medent and Medical Records Processes. Strong knowledge and accuracy in patient registration and insurance entry. Process strong attention to detail and analytical skills Resolve patient/customer complaints in a timely manner. Maintaining current knowledge of HIPAA. Provide training and oversite of medical records operations. Review medical record entries and processing to give feedback to appropriate staff. Provide on-going education to medical records staff and front office staff across all locations (as needed). Reporting to the Patient Access Manager, has input into the selection of staff, training employees, planning, assigning, and directing work, addressing complaints and assist in resolving problems.

SKILLS REQUIRED FOR SUCCESS: Associate’s degree or equivalent preferred. Minimum of 5 years of experience in medical office setting Knowledge of medical records and customer service Knowledge of computer applications and word processing
