Responsibilities GENERAL STATEMENT OF JOB
The STEM College Administrative Assistant II is responsible under limited supervision to perform avariety ofroutine to complex secretarial, clerical and administrative tasksinsupport ofdepartment operations. The Administrative Assistant II provides professional customer andpublic serviceasrequired. The Administrative Assistant IIreports to the Dean of the College of Science, Technology, Engineering and Mathematics (STEM).
SPECIFIC DUTIES AND RESPONSIBILITIES Establishes and maintains a filing system of active federal/state and private grant information. Assists with the compilation of monthly, annual and special financial reports for the President, Board of Trustees, federal agencies and other organizations. Accepts and processes funds as required. Reviews all requisitions prior to Dean's approval; submits for payment. Records minutes of the STEM College meetings and assists in compiling STEM College newsletter. Performs a variety of administrative tasks in support of the STEM College, the departments and the faculty in the STEM college, including but not limited to establishing and maintaining files, maintaining computer record-keeping functions, compiling data for various reports and for staff use, researching information, taking and transcribing dictation, scheduling conferences and meetings, maintaining calendars, ordering supplies, etc. Anticipates and prepares materials needed by the supervisor and the faculty in STEM College for conferences, meetings, correspondence, etc. Receives, reviews, processes, types, composes and/or submits a variety of documents, including routine and confidential correspondence, reports, forms, etc. Performs routine clerical work as needed, including processing daily mail, entering computer data, copying and filing documents, assembling materials, faxing information, etc. Answers telephone and email correspondence directed to the College of STEM; provides accurate information to callers and/or forwards calls to appropriate staff person. Greets office visitors and performs customer/public service duties as required. Provides work direction to student employees as assigned. Operates a variety of equipment such as a computer, printer, typewriter, copier, fax machine, telephone, calculator, etc. Interacts and communicates well with immediate supervisor, Board of Trustees/Committee members, other department supervisors and employees, co-workers, students, parents, faculty members, alumni, contractors, vendors, other government agencies, and the general public.
ADDITIONAL JOB FUNCTIONS: Performs all related duties as required and assigned by Dean of the STEM College. Qualifications
Requires a Bachelors degree, supplemented by three to five years of responsible experience as an administrative assistant, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities. Must have intermediate to advanced knowledge of Microsoft Office suite.
