Mail/Supply Specialist

IAT Insurance Group has an immediate opening for a Mail/Supply Specialist in our Newark, New Jersey location. A Mail/Supply Specialist will perform the day-to-day operations of the mailroom overseeing the distribution of incoming and outgoing mail for all departments in our Raleigh, North Carolina headquarters. Furthermore, this role will work with manager and vendors to purchase office supplies needed, keep costs within budget and maintain inventory on supplies. Due to the nature of this role, this position will be required to work in office Monday through Friday. Responsibilities: Assists with the purchasing and distribution of supplies for location. Maintain a working inventory of supplies to ensure all materials required for the job are available. Sorts, processes, and distributes incoming mail, including document scanning and in-person delivery to various departments following assigned workflow procedure(s) for scanning/tracking all incoming and digital mail. (May include picking up/dropping mail at post office) Prepare, package and process outbound mail/shipments utilizing USPS postal metering machine, UPS, FedEx, and other software systems for Domestic and International destinations. Responsible for maintaining caf/satellite coffee stations and photocopy stations supplies on a weekly basis. Ensuring sufficient stock/backstock of all needed items, including daily rounding to ensure fully stocked and organized, per set inventory list. Responsible for maintaining photocopier toner/waste bins for all copiers, as needed and report/contact vendor for service needs as they arise. Main point of contact for all mailroom equipment, vending/coffee equipment and manages service needs as they arise. Manages and processes various requests through the mailroom e-mail inbox in a timely manner. Provides daily backup support for reception, which includes managing IAT's phone system, greeting visitors, etc. Assists other departments as needed with special projects and performs other duties as assigned, including catering assistance. Performs other duties as needed. Qualifications: Must Have: High school diploma or equivalent with 2-3 years of relevant clerical experience. Must be able to work in-office 5 days a week (Monday through Friday) Must be able to lift and carry up to 50 pounds and to stand and walk for extended periods of time. Ability to multitask and prioritize work. Must be authorized to work in the United States and must not require VISA sponsorship, now or in the future, for employment purposes. This range represents the anticipated low and high end of the salary for this position in that location. Actual salary will vary based on factors such as a candidate's qualifications, skills, competencies, and geographical location related to this specific role. The total compensation will include a base salary, performance-based bonus opportunities, 401(K) match, profit-sharing opportunities, and more.
