Who Were Looking For

We are hiring a CRM Data Cleanup Support contractor for a short-term, high-precision data hygiene project. This role is perfect for someone who's fast, detail-obsessed, and thrives in behind-the-scenes systems work. You'll be responsible for completing contact cleanup, deduplication, and quality assurance tasks within our CRM and adjacent tools. You wont be doing outreach or relationship management your job is to make sure the data foundation is bulletproof for the team that does.

Key Responsibilities Contact Deduplication & QA

Clean, categorize, and QA CRM records across key segments:

MAPS LPs and SPVs Traditional Talent ABG + PR contacts

Merge duplicate contacts (including those with multiple email addresses or domains) and set a single primary contact record. Link each contact to the correct company and set one primary company. Move all email addresses into the main Email property, using Additional Emails for secondary addresses. Ensure primary email addresses match the primary companys domain when possible; document exceptions in contact notes. Company Record Accuracy

Merge duplicate companies and ensure the correct domain is set. Create and populate a Main Point of Contact custom property on company records. Verify required company details, including website, industry, location, phone number, lifecycle stage, company type, and owner. iPhone Contact Matching

Cross-reference Moj's iPhone contacts (~18,000 entries) with existing CRM records and spreadsheets. Prioritize review of ~800 high-signal contacts. Flag, archive, or deprioritize low-value or irrelevant entries. Data Enrichment

Fill missing required fields for contacts:

First/Last Name, Job Title, Phone Number, Contact Type, Investor Status (if applicable), Lifecycle Stage, Source, Notes, Owner, and relevant contact restrictions.

Fill missing required fields for companies:

Company Name, Website/Domain, Industry, Main Point of Contact, Phone, Address, Lifecycle Stage, Company Type, Owner, Notes.

Pull missing information from ClickUp attachments/comments, Gmail history, LinkedIn, and company websites. Summarize key relationship context in the Notes property. Duplicate & Mismatch Resolution

Use HubSpots built-in duplicate management tool to resolve duplicate contacts and companies. Align lifecycle stages between companies and their associated contacts. Remove or merge ghost companies with no meaningful contacts unless strategically needed. ClickUp & HubSpot Syncing

Match outreach/meeting tasks in ClickUp to the correct HubSpot records. Create or update missing contact/company records when no match exists. Ensure all guest, founder, and LP meeting participants are represented in the CRM. Documentation & Reporting

Maintain a cleanup tracker in ClickUp by segment (MAPS, LPs, Talent, ABG/PR). Flag unclear or questionable records in a shared Needs Decision list. Provide weekly progress summaries, including duplicates merged, records enriched, and flagged items. Participate in a recorded debrief or knowledge transfer call upon completion. What You Bring

Experience & Skills

1+ year of CRM data entry, administrative support, or research-heavy work Strong attention to detail and consistency Fluency with Google Sheets and basic CRM systems (HubSpot Starter preferred) Ability to follow QA guidelines and clearly flag inconsistencies Basic familiarity with productivity tools like ClickUp, Slack, and Zoom Mindset

This is a one-time support contract capped at 100 hours You will take direction from the CRM Relationship Manager and complete tasks independently You are not responsible for ongoing CRM ownership, outreach, or maintenance Final deliverables: summary of work completed, CRM audit scorecard, recorded handoff session Any work beyond 100 hours must be pre-approved in writing by the CRM Relationship Manager or Primary Contact
