Special Projects Manager
Job Location: Boston, MA (hybrid work model with in-office presence required on Tuesdays)
Job Duration: 3-6 Months
Role Overview
The person in this role will plan and execute high-visibility events and special projects for client university. Projects may include twice-annual nutrition council meetings and donor stewardship videos and recognition events. The ideal candidate will have a proven track record in event planning and project management, with experience in using systems like MS Office suite, Salesforce, Constant Contact, and Canva.
Key Responsibilities
Plan and execute high-visibility events and special projects including developing concepts, soliciting stakeholder input, and conducting background research. Develop and manage comprehensive project and event plans, including timelines and budgets, ensuring deadlines are met and budgets are not exceeded. Collaborate cross-functionally and interdepartmentally to align events and projects with engagement and fundraising goals. Draft and manage event communications, including invitations, agendas, briefing documents, and stakeholder outreach. Coordinate logistics and manage contract process and vendor relationships, including venue selection, restaurants, catering, videographer, A/V, and travel arrangements. Manage registration processes and guest communications, collaborating with colleagues to execute invitations, outreach, and event tracking. Serve as primary liaison with speakers, alumni, donors, and other stakeholders, exhibiting a high level of professionalism and responsiveness. Provide on-site support for events and video shoots to ensure seamless execution. Evaluate outcomes by gathering feedback and conducting surveys and produce post-event/project reports to guide future improvements.
Qualifications
Bachelors degree required. Minimum of 35 years of experience in event planning and project management. Exceptional project management, event management, and creative problem-solving abilities, including ability to interpret, analyze, evaluate, and synthesize information and apply that knowledge to current project and event management. Demonstrated ability to anticipate needs, take initiative, work independently, and adapt to and manage evolving situations and priorities. Strong interpersonal skills with the ability to build relationships and collaborate across diverse sets of stakeholders, including donors, volunteers, and senior leadership. Demonstrated ability to engage with stakeholders with a high level of professionalism, discretion, and sound judgment in all interactions. Highly organized and detail-oriented. Excellent written and verbal communication skills. Proven skills in budgeting and vendor negotiation. Proficient in MS Office, Salesforce, Canva, and Constant Contact (or similar platforms) Able to quickly learn new technologies and processes. Experience in fundraising, donor relations, volunteer management, or alumni engagement is highly desirable.
