Facilities Operations Supervisor
The Office Operations Functional Manager supports and coordinates the daily operations of key office services, including mailroom, print shop, security, emergency preparedness, environmental health and safety (EHS), life safety, and business continuity. This role ensures smooth workflows, compliance with safety standards, and effective collaboration across facilities-related functions.
Key Responsibilities
Security & Safety Operations
Coordinate day-to-day security operations, including oversight of contractors and building access systems.
Support the implementation and maintenance of office security protocols and ensure compliance with safety standards.
Assist with periodic reviews of security systems and procedures to address emerging risks.
Emergency Preparedness
Maintain and update emergency evacuation plans and procedures.
Organize and support regular evacuation drills in collaboration with building management.
Serve as a key contact during emergency situations and help train staff on safety protocols.
Environmental Health and Safety (EHS)
Monitor compliance with EHS regulations and internal safety policies.
Conduct routine safety checks and assist in resolving identified issues.
Support the development of safety training and awareness programs for staff.
Business Continuity
Assist in maintaining and updating business continuity plans.
Participate in risk assessments and help coordinate departmental readiness efforts.
Support testing and documentation of continuity procedures.
Mailroom & Print Services
Supervise the service center team responsible for mail and print operations.
Ensure timely and accurate handling of incoming/outgoing mail and packages.
Oversee small-scale print jobs and maintain print equipment and supplies.
Facilities Support
Coordinate day-to-day facilities tasks such as space planning, maintenance requests, and vendor communications.
Support office improvement projects and ensure minimal disruption to operations.
Liaise with building management to resolve facility-related issues.
Sustainability Initiatives
Assist in implementing sustainability practices and maintaining certifications (e.g., LEED, WELL).
Promote recycling, energy efficiency, and environmentally responsible office behaviors.
Track and report on sustainability efforts and progress.
Qualifications
Bachelor's degree in Business Administration, Facilities Management, or a related field.
Minimum of
5 years of directly related experience
in office operations, facilities, or safety/security roles.
Strong organizational and multitasking skills with attention to detail.
Effective communicator with the ability to collaborate across teams and lead small groups.
Working knowledge of EHS regulations and emergency procedures.
Proficiency in Microsoft Office and familiarity with facilities or security management systems.
Experience with tools such as SAI360, CCURE, or Wizard is a plus.
This role is based in our Washington, D.C. office. A reasonable rate of compensation for this position is between
$95,000-105,000
per year.
