The organization supports the position of an Assistant Property Manager who has a proven history supporting commercial properties. Applicants for this position will be self-motivated individuals with a high degree of initiative and professionalism. Responsibilities Assist the Senior Property Manager in the management of day-to-day operations, including contract services and tenant relations. Assist in monthly accruals and financials. Assist the Senior Property Manager in preparing and delivering timely, accurate monthly reports including executive summaries. Assist the Senior Property Manager in annual budget preparation. Proactively meet with tenant representatives on a scheduled basis. Maintain ongoing tenant contact/relations to assess needs and resolve issues to the satisfaction of tenants and owners. Communicate regularly with Property Administrator, providing necessary support and information. Coordinate office procedures, setup, and supervise maintenance of property and tenant files. Review invoices for proper calculation and coding, ensuring appropriate supporting documentation prior to approval. Follow established AR guidelines, including contacting tenants regarding rent payment follow-up. Prepare lease commencement letters and assist in communicating lease changes. Perform janitorial inspections and assist with building inspections, solicit and review bids for routine services. Prepare service and construction agreement documents (work authorizations, addendums, amendments, and contracts). Oversee maintenance of work order and purchase order systems. Develop and maintain tenant handbook, ensuring tenant information is current. Ensure Certificates of Insurance for tenants and vendors are current. Process tenant bill backs promptly. Assist with special projects as assigned. Perform other duties as assigned.

Requirements

Associates or Bachelors Degree from an accredited university. 5-7+ years of progressive experience in commercial real estate property management. Experience with real estate management software such as MRI, Nexus, and Angus is a plus; proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook) is required. Strong personal and interpersonal skills, including: Independent motivation and flexibility to adapt to new challenges. Polished and professional communication skills, both verbal and written. High discretion due to handling confidential information.
