Contracts and Closing Coordinator
Job Overview
Red Cedar is looking for a skilled Contracts and Closing Coordinator to join our sales team. The ideal candidate will have a strong foundation in contract management and compliance, with proficiencies in organization, responsiveness, and proactive problem-solving. As a key member of our team, you will be responsible for tracking transactions from contract signing through closing, ensuring every detail is accurate and compliant. Your role is essential for maintaining visibility into our backlog, flagging potential financing issues early, and coordinating seamless closings that keep us on track with our timelines. You'll lead the Visibility Meeting to provide updates on backlog status, keeping cross-departmental teams informed and aligned. Additionally, you will ensure our contract processes meet compliance standards, offering peace of mind to Leadership.
As the go-to person for contract status, your quick response times, positivity, and organized approach will be invaluable.
Essential Duties & Responsibilities:
Manage the closing process for all real estate transactions from contract signing to final closing, ensuring all steps are completed accurately and on time.
Coordinate closing schedules with buyers, lenders, attorneys, title companies, and other stakeholders, proactively addressing potential delays or conflicts.
Review contracts and related documents for accuracy and compliance, verifying that all terms are met and that any special instructions are followed.
Track and monitor financing and mortgage processes for buyers, identifying potential issues early and working with lenders to keep financing on track.
Prepare and distribute closing documents, ensuring all necessary paperwork is completed, signed, and filed correctly before closing dates.
Lead weekly update meetings with cross-functional teams to provide visibility into the status of transactions, backlog, and potential red flags.
Maintain clear communication with all parties involved in the closing process, including buyers, sales teams, construction teams, and external partners, to ensure transparency
and alignment.
Act as the primary contact for closing-related inquiries, promptly addressing questions from internal teams and external stakeholders regarding transaction status and
documentation.
Ensure compliance with legal and company standards, staying informed about relevant regulations and ensuring that all transactions are audit ready.
Track key contract dates and milestones to ensure contract obligations are met, and update schedules as needed to reflect any changes.
Facilitate document recording and final contract administration tasks, including obtaining signatures, notarizing documents (if needed), and submitting final paperwork.
Monitor and report on key metrics related to closing timelines and accuracy, providing insights and recommendations to improve the closing process.
Organize and maintain digital and physical files for each transaction, ensuring all records are stored securely and systematically.
Acting as the Transaction Coordinator for Red Cedar Realty on outside transactions Adding, updating and managing all MLS listings and pricing information sheets Maintain data accuracy in key reporting tools, including Smartsheet's and incentive worksheets, with regular updates to ensure current information is always available. Support the sales team with administrative tasks, such as data entry, reporting, and document management, to facilitate smooth daily operations. Run and distribute regular sales reports, tracking key metrics and updating stakeholders on sales status, inventory, and incentive information. Maintain organized and accessible digital files for sales data and client information, ensuring compliance with company policies. Coordinate with marketing and sales teams to update and maintain online listings, ensuring all marketing materials reflect current incentives, promotions, and availability. Proactively identify and troubleshoot discrepancies in sales data or listings, taking initiative to resolve issues independently whenever possible. Other duties as assigned Required Skills & Qualifications:
Exceptional attention to detail. Ensures accuracy in contract documentation, compliance, and transaction processing.
Strong problem-solving skills. Skilled at identifying and addressing potential issues early to keep transactions on track.
Excellent organizational and communication skills. Ability to manage multiple contracts and deadlines while keeping detailed records. Ability to clearly and professionally communicate with buyers, internal teams, lenders, and external partners. Demonstrates a positive, helpful attitude when working with buyers and addressing their concerns.
Quick learner and self-starter Ability to work well both independently and in a team in a fast-paced environment Resourceful & proactive approach to the role and responsibilities Must be able to work in a fast-paced, ever-changing environment Experience in driving process improvement Knowledge of closing and title processes. Familiarity with real estate contracts, financing, and title work is a plus.
Ability to monitor key metrics and recognize trends or red flags that may impact closing timelines.
Understanding of real estate laws, regulations, and company policies related to closing. Organized approach to digital file storage and document management, ensuring all Paperwork is easily accessible and audit ready

Monday-Friday, standard daytime hours; 8:30 am - 5 pm Job Type:
Full-time position, averaging 40 hours per week Benefits:
