MARKETING COORDINATOR

JOB TITLE: Marketing Coordinator STATUS: Full Time FLSA: Non-Exempt JOB GRADE: HG6 REPORTS TO: Events & Promotions Manager SUPERVISES: N/A

WORKING HOURS : This is an hourly, non-exempt position. The incumbent is expected to devote such time and energy as is reasonably necessary to perform the duties and responsibilities of the position. Position may require further availability evenings, weekends, holidays and special events.

SUMMARY : Provides support to the Marketing/Player Development Departments by monitoring and controlling interoffice communications and operations. Assists in all Marketing events as requested by Department Management. Acts as a liaison relating to employee and/or customer relations.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 1. Acts as a team player, fully prepared to step into any office job when required to keep projects moving in a timely and efficient manner. 2. Professionally and politely places, accepts and screens telephone calls and refers calls to others as appropriate. 3. Works to ensure customer satisfaction and increase traffic to the casino through the development and coordination of appropriate guest packages. 4. Communicates with Department Managers to discuss advertising and current information for departments and vendors with final approval of Events & Promotions Manager. 5. Coordinates the delivery of event materials (i.e., tables, chairs, signage, food, promo items, decorations, etc.) and ensures that each event is set up according to specification. 6. Consistently delivers positive, courteous and professional service in all interactions with guests, vendors, department heads, executive and fellow members. 7. Assists the Marketing/Player Development Management in maintaining events-related calendars, including but not limited to: VIP parties, concerts, drawings, slot and table game tournaments, car and cash giveaways, and gift giveaways. 8. Provides Marketing/Guest Services staff with updates and details regarding each event. 9. Reviews requests from customers (comps, tickets, etc.) and business associates, and gains approvals from Marketing management before responding to request. 10. Oversees internal daily departmental office procedures as directed. 11. Performs general Public Relations and customer service duties, required or assigned by Marketing Management. 12. Assists in the preparation and coordination of internal and external marketing projects as directed. 13. Assists in special events ordering, decorating, planning and hosting of promotions. 14. Contributes to the creation of new special event presentations as requested. 15. Prepares memorandums for the department outlining and explaining administrative procedures and policies to management and supervisory employees. 16. Controls interoffice communication installations and maintenance. 17. Prepares sales and marketing pieces to current and future customers. 18. Controls marketing purchasing and inventory for merchandise giveaways, in coordination with Purchasing department, and facilities department. 19. Responsible for posting current events on office planner board and scheduling/coordinating on and off property meetings as requested by Marketing Management. 20. Organizes Marketing and Player Development calendar, scheduling appointments and meeting facilities as required and requested. 21. Compiles department information for input into monthly reports. 22. Completes appropriate documents for all Chamber memberships, annual dues, subscriptions, tradeshows etc. and maintains relationships through Chamber of Commerce membership and organizations. 23. Maintains client list for telephone follow-up and direct mailings, distribution of brochures, shuttle schedules and posters, directed by Marketing Management. 24. Completes purchase request forms, check requisitions and acquires appropriate signatures. 25. Verifies vendor purchasing status, coding/matching up invoices to PO's, making copies, updating the purchase order status with vendor. 26. Coordinates and provides confirmation for travel, transportation systems (airport and limousines) and hotel accommodations for artists, players, casino guests, and others. 27. Maintains sales account/player information. 28. Performs sales/marketing related correspondence, generates reports and updates database. 29. Meets the attendance guidelines of the job. 30. Adheres to all regulatory, department and company policies and procedures. 31. Attends all required meetings and training. 32. Maintains confidentiality at all times. 33. Performs other duties as assigned.

SUPERVISORY RESPONSIBILITIES : No supervisory responsibilities for this position.

QUALIFICATIONS : To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and ability required. 1. Minimum of three (3) years experience in Administration, Marketing and/or Advertising/Promotions required. 2. Excellent skills in MS-Office products (Excel, Word, PowerPoint, Outlook, Teams); 3. Prior experience tracking budgets and related expenditures preferred. 4. Must be able to work independently with minimal supervision. 5. Must be able to get along with co-workers and work as a team and directly with all Managers within the Marketing Department. 6. Must possess excellent organizational skills and be able to handle multiple priorities simultaneously and meet or exceed established timelines. 7. Must present professional appearance at all times. 8. Must be able to maintain a high degree of confidentiality with respect to all matters pertaining to the gaming enterprise business.

EDUCATION : 1. High School Diploma or equivalent (GED) required. 2. Bachelor's Degree preferred.

LANGUAGE SKILLS: 1. Must be able to read, write, speak and understand English. 2. Excellent oral and written communication skills are important to the successful conduct of this position. 3. Ability to write accurate, grammatically correct, polished reports and business correspondence. 4. Must be able to speak with the public in a professional manner.

MATHEMATICAL SKILLS: 1. Ability to add, subtract, multiply, and divide in all units of measure.

REASONING ABILITY: 1. Ability to proactively streamline processes for company's return on investment. 2. Ability to define problems, collect data, establish facts, and draw valid conclusions. 3. Ability to interpret an extensive variety of instructions furnished in written, oral, diagram or schedule form. 4. Ability to process detailed work and requests for information or assistance in a timely manner. 5. Ability to apply regulatory and procedure doctrine, concepts, and policy to practical situations.

LICENSES, CERTIFICATES, REGISTRATIONS: 1. Must possess a valid state Driver's License with a clean driving record and be insurable by the Tribe. 2. Must be able to obtain and maintain a gaming license from the Dry Creek Gaming Commission.

PHYSICAL DEMANDS: 1. Must be able to sit and/or stand for extended periods of time. 2. Must be able to lift up to fifty (50) pounds. 3. Must have manual dexterity to operate a computer and other necessary office equipment. 4. Must be able to bend, reach, stoop, kneel, twist and grip items. 5. Must be able to respond to visual and audio cues.
