CUSTOMER SERVICE REPRESENTATIVE - FINANCE

Job Summary:

Under the supervision of the Business Services Manager, the Customer Service Representative is responsible for assisting the public with inquiries, registrations, and payments received both in person, by telephone and e-mail.

Job Scope:

Work is performed with a substantial degree of independence within the framework of prescribed policies and procedures. Employee does not have supervisory responsibility for subordinate personnel.

Essential Duties and Responsibilities:

? Provides timely, courteous and efficient service to all customers.

? Receives inquiries from members of the public both in person, by telephone, and by e-mail. Responds or refers inquiries as appropriate.

? Accepts and opens utility payments, and payment of other miscellaneous fees. Validates and/or receipts payments as necessary.

? Operates cash register, makes change for cash transactions, and balances their assigned daily cash drawer.

? Creates and processes payments of interdepartmental batches.

? Processes applications to establish, discontinue and amend utility services.

? Stocks needed materials.

? Balances utility payments.

? Posts utility payments to customer accounts.

? Completes daily reconciliation of cash, checks and credit cards collected.

? Welcomes and works with new residential customers to create utility accounts and explain the deposit and bill process.

? Enters work orders and completion results on a daily basis, to ensure up to date records

? Posts electronic disbursements and receipts balance against records.

? Coordinates payments from Charitable Organizations on customers' behalf.

? Administers the Debt Setoff files.

? Reviews and maintains the Bankruptcy Files.

? Enters utility deposits into computer database.

? Receives and sorts the daily mail.

? Enters and maintains landlord agreements.

? Works with Business Services Manager to ensure fair and professional customer service is being delivered, within set guidelines.

? Assists coworkers and performs other duties as required

Peripheral Duties:

Acts as primary support to Business Services Manager and Utility Billing Specialist. Duties in this role include:

? Responding to customer inquiries;

? Preparing and distributing work orders to Meter Readers; and

? Negotiating payment extensions.

Education, Certification, and Experience Requirements:

High school diploma, GED or equivalent. One to two years of experience in a related field. Requires the possession of a valid driver's license and a good driving record.

Skills, Knowledge and Abilities:

Skills in operating listed tools and equipment. Ability to understand and carry out oral and written instructions. Ability to make mathematical computations and routine monetary transactions with speed and accuracy. Basic knowledge of accounting principles applying to cash management and utility billing. Ability to establish and maintain effective working relationships with coworkers and the public. Ability to resolve customer concerns and complaints within established procedures. Close attention to detail.

Tools and Equipment Used:

Network computer system operating utility billing software; personal computer operating word processing, spreadsheet and data base software; 10-key calculator; telephone; copier; facsimile; postage meter; validate cash register; two-way radio.
