Summary

The Conference Service Manager is part Profit/Loss responsible for all events at the Boca, in conjunction with the Director of Catering and Conference Services. The principal priorities and responsibilities are as follows: Banquet/Conference Operations, Administration, Working Relationship, Communication, Standard Management Norms, Conception of Innovative Menu items and Presentations.

Essential Functions

Work closely with each groups meeting planner regarding groups menu planning, agenda setting, hotel meeting services, hospitality amenities and special VIP request. Communicate and enforce contractual agreements pertaining to meeting space, food and beverage, and special concessions. Create detailed event orders to meet the specifications of both the client and The Boca Raton. Assist in development, design, and implementation of custom menus. Maintain proper documentation of events, changes and special requests with updated Banquet Event Orders, group resumes and rooming lists. Provide accurate and concise information to all departments. Accurately forecast and reforecast groups' food and beverage revenue on monthly basis. Handle any challenges or concerns immediately. Function as the on-site contact to client for all aspects of their events and to be available by telephone or radio.

Food and Beverage Outlets, Culinary Area, Sales & Marketing Department, Catering/Conference Services/Banquet/Setup/AV Operations, Boca by Design, All Activity, Retail, Support Departments, and Front Office Operations, Engineering.

External Relationships

Club Members, All Potential Clients, Meeting Planners, Production Companies and Vendors.

Qualifications • Must be able to speak, read, write, and understand the primary language(s) used in the workplace. • Working knowledge of Food and Beverage sales as well as Hotel Operations • Excellent verbal and written communication skills required. • Ability to prepare and analyze data, figures and transcriptions prepared on and generated by computer. • Must possess computer skills.

Education/Experience Requirements

Hotel or Hospitality Degree at bachelor's Level, an unrelated degree with relevant hospitality experience can be considered. Minimum 2 years in Banquet / Catering / Convention / or Food and Beverage related operation. Working knowledge of computer systems. Personal appearance and grooming commensurate with high profile nature of job.

Physical Requirements

Must be able to exert well-paced ability to maneuver between functions occurring simultaneously. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening, and hearing ability and visual acuity Must be able to properly lift 50 pounds. Must be able to sit, stand, stoop or bend for duration of shift (at least 8 hours).
