Position Title: Japanese Bilingual Purchasing Coordinator
Location: Torrance, CA (Onsite)
FLSA Status: Non-Exempt
Working Hours: 9am - 6pm (2 days a week ) and 8am - 5 pm (Friday + 2 days a week) (M - F)
Overview:
The Purchasing Coordinator will be responsible for ensuring the smooth flow of ingredients and materials, from international sourcing to domestic production support at a global food/ beverage consumer packaged goods manufacturer.
Essential Duties and Responsibilities include but not are limited to:
• Facilitate and coordinate international orders, primarily with our partners in Japan, including product lines, raw materials, labels, and packaging. This involves working closely with sales, marketing, and production teams to ensure all aspects of the order are accurate and meet regulatory requirements.
• Collaborate with agencies and internal departments to manage the registration and coordination processes for importing and exporting goods, ensuring compliance with all relevant certifications.
• Monitor and communicate the status of international shipments from origin to destination, providing timely updates to relevant stakeholders.
• Work alongside the logistics department, freight forwarders, couriers, and customs brokers to ensure efficient and timely delivery of international shipments.
• Prepare and maintain essential inbound documentation for international arrivals.
• Coordinate label and packaging designs with international partners and our internal sales and marketing teams.
• Partner with the purchasing and sales teams to maintain optimal inventory levels necessary for domestic production, utilizing systems like QuickBooks, Business Central, and Excel for data accuracy.
• Accurately coordinate order placement, production scheduling, and deliveries with co-packers to ensure continuous supply.
• Calculate ingredient and flavor requirements for production and generate purchase orders accordingly.
• Execute necessary inventory adjustments and manage transfers of inventory to and from offsite cold storage facilities.
• Monitor inventory records to identify and report on product quantities on hand to the Purchasing Manager.
• Create new item entries and develop Bills of Material (BOM) for finished products within our system.
• Directly engage with domestic vendors and suppliers to manage shipment schedules, delivery timelines, inventory levels, and product specifications, including labeling and packaging.
• Occasionally visit trade shows and supplier sites to stay informed about industry trends and potential new partnerships.
• Other duties requested by Management.
Qualifications:
• Bachelor's degree in business, communication, or a related field.
• Proven experience in purchasing, procurement, and/or supply chain roles(1 year minimum, 2-3 years preferred)
• Demonstrated understanding of, or keen interest in, the dynamics and trends of the food and beverage industry.
• Excellent communication, presentation, and negotiation skills.
• Ability to build and maintain strong relationships with clients.
• Self-motivated, results-oriented, and able to work independently.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
• Bilingual proficiency in Japanese and English (reading, writing and speaking) to communicate with teams in the U.S. and Japan.
