The Executive Assistant will serve as a critical partner to the Chief Human Resources Officer (CHRO), providing high-level executive support and project coordination within a fast-paced personal injury law firm. This role requires exceptional organizational, communication, and analytical skills, along with the ability to handle sensitive information with discretion. The Executive Assistant will not only manage day-to-day executive tasks but will also coordinate HR projects, ensure timely execution of firm-wide initiatives, and act as a liaison across departments. Key Responsibilities
Executive Support Provide comprehensive administrative and executive support to the CHRO, including calendar management, travel arrangements, meeting preparation, and expense reporting. Draft, proofread, and manage high-level correspondence, reports, and presentations. Maintain the highest degree of confidentiality regarding firm and personnel matters. Prioritize and manage multiple tasks simultaneously, ensuring deadlines are met. Project Coordination & Management Support the planning, execution, and tracking of HR and firm-wide initiatives, including employee engagement programs, compliance rollouts, and process improvement projects. Develop and monitor project timelines, deliverables, and milestones in collaboration with the CHRO and leadership team. Coordinate data collection, analysis, and reporting for HR metrics and strategic projects. Serve as a central point of contact for cross-functional collaboration on HR-related projects. Operational Excellence Organize and maintain filing systems, databases, and records in both digital and physical formats. Support compliance with HR and legal requirements, including recordkeeping and reporting. Manage vendor and consultant relationships in support of HR initiatives. Assist in preparing board and leadership meeting materials, agendas, and action items. Education & Experience Bachelors degree in business administration, Human Resources, or a related field (required). Minimum of 5 years of experience as an Executive Assistant supporting senior-level executives. Prior experience in project coordination and management within a professional services or law firm environment is highly preferred. Skills & Competencies Strong understanding of HR processes, confidentiality, and compliance standards. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HRIS/HR tech platforms. Exceptional written and verbal communication skills with strong attention to detail. Highly organized with the ability to anticipate needs and proactively resolve issues. Professional demeanor with the ability to interact effectively with executives, attorneys, and staff. Demonstrated ability to thrive in a fast-paced, high-pressure environment. Must-Have Skills
Strategic Communication Skills Ability to draft and edit executive-level correspondence, policies, and reports. Skilled in tailoring messaging for attorneys, staff, and external stakeholders. Excellent interpersonal skills to act as a liaison between leadership and employees. Advanced Organizational & Project Management Expert in managing complex calendars, travel, and meeting logistics. Coordinates multiple HR and firm-wide projects simultaneously. Uses tools like MS Office, project trackers, and HRIS systems to maintain efficiency. Confidentiality & Discretion Handles sensitive personnel and legal matters with absolute professionalism. Trusted to manage HR files, employee data, and confidential firm strategies. Analytical & Problem-Solving Skills Anticipates executive needs and proactively identifies solutions. Able to interpret HR reports, track metrics, and prepare executive summaries. Strong attention to detail in reviewing legal/HR documents. Executive-Level Judgment & Decision-Making Prioritizes tasks effectively in high-pressure, fast-paced environments.
