We are looking for a detail-oriented person to join our team at Oakbrook Gardens Apartments. Oakbrook Gardens Apartments consists of 280 garden-style apartments located close to Butler Hill and I-55.
The Assistant Manager is to assist the Manager in effectively managing the assigned property. In the Manager's absence, the Assistant Manager will assume all responsibilities associated with accomplishing property objectives as set forth by the Area/Regional Supervisor and the Property Owner. In addition, the Assistant Manager is directly responsible for maintaining daily, weekly, monthly and quarterly reports including accurate reporting of rents and deposits received.
Primary functions of the job: Conduct all business by Company policies and procedures, Fair Housing, Americans with Disabilities Act, HUD regulations, and local ordinances pertaining to apartments. Must have complete knowledge of Fair Housing Compliance laws and all other laws pertaining to apartments. Required to attend periodic Fair Housing seminars. Assume the manager's responsibilities in the absence of a manager including property operation and supervision of personnel. Access, input, and retrieve information from the computer. Maintains all resident records. Updates daily all rents, deposits, and application fees received from residents. Issue appropriate notices when necessary (e.g., late payments, eviction notices, returned check notices). Deposits all receipts by 2 p.m. each day Updates reports concerning notices to vacate daily and provides information to the Manager. Proofreads all lease paperwork and processes move-ins and move-outs. Organizes and files all applicable reports, leases, and paperwork. Process all security deposit move-out reports. Involved in the design and implementation of resident retention activities. Responsible for contacting residents well in advance of their lease renewal date to secure a renewed lease. Accepts service requests from residents and routes to maintenance for prompt processing. Conducts service follow-up with residents when work is completed. Responsible for daily updating of the service requests on the computer. Delivers notices to residents. Physically inspects property when on grounds, picks up litter, and reports any service needs to manager or maintenance staff. Will also inspect move-outs and vacancies when requested. Clean office area (e.g., take out trash, vacuum, dust). Maintains a positive customer relations attitude. Answers and handles incoming phone calls from prospective residents, current residents, vendors/suppliers, etc. Must be knowledgeable of all phases of leasing and resident retention. Greets prospective residents, shows property, and performs leasing duties as needed. Maintains awareness of local market conditions and trends. Contribute ideas to Manager for marketing property and improving resident satisfaction. Active in outreach marketing, and surveys of market competition. Performs any additional duties assigned by the Manager or Area/Regional Supervisor. Supervisory Responsibilities:
Assume all duties of the Manager in the event of the Manager's absence. Scheduling:
The schedule is Monday through Friday 8:30 am - 5:30 pm and is based upon business necessity. Weekend and evening work is occasionally required. During times of emergencies, heavy work-loads or other company needs, there will be times when overtime is required.
