University Registrar Position
Under broad supervision, this position performs highly responsible work coordinating functions of the Registrar's Office. Considerable independent judgment is exercised applying and adapting departmental guidelines, policies and procedures, maintaining confidentiality, and applying thorough knowledge of the operations and policies of the department and university related to managing processes within the Scheduling, Registration, and Records needs of the office. Maintain confidentiality and work directly with students, administrative support units, academic departments and deans offices to troubleshoot complex scheduling, registration, and student record issues. Maintain confidentiality and ensure compliance with university policies and procedures. This position requires administrative, organizational, communication and data entry skills. Flexibility and demonstrated competence to assess priorities and manage a wide variety of activities in a time-sensitive environment is crucial. This position staffs the front office area and is responsible for walk-ins. Duties and responsibilities include: Effectively communicate university policies and procedures by phone, mail, email, and in person to students, faculty, staff, parents, alumni, and the general public. Staff the front office area and is responsible for walk-ins. Coordinate and facilitate complex registration and payment efforts. Process and maintain undergraduate and graduate student record changes in the database; update student information system when necessary, changes to student account records such as address, name, etc. Demonstrate thorough understanding of electronic record change process. Create and run Webi reports. With Assistant and Associate Registrars, develop policies and practices to manage, monitor, and recommends improvements for Registrar's Office functions, operations, and systems. Interpret and apply a variety of procedures, policies, and precedents. Independent decision making in lieu of Assistant or Associate Registrars based on established guidelines. Other duties as assigned. Other minimum qualifications include: High school graduation. Seven years of related experience, preferably in higher education, or AA degree and five years of experience, or a combination of experience and higher education equal to seven years. Advanced computer skills including complex word processing, email, spreadsheets, database management, search engines, keyboarding skills, and other software applications. Ability to establish and maintain effective working relationships with faculty, staff, students, and the general public. Additional preferred qualifications include: Bachelor's degree; Supervisory experience; University experience; knowledge of university academic policies and procedures, and knowledge WEBI. Ability to work independently with Excel applications and strong customer service experience. Experience working with diverse populations.
