Job Summary:

Provides high-level support on designated priority functions for the executive leadership team and the board at Roppe Holding Company. This role is vital to the efficient operation of the executive leadership team, requiring exceptional organizational, communication, and problem-solving skills. The Executive Assistant will manage complex calendars, coordinate travel, handle confidential information, and serve as a key liaison with internal and external stakeholders. This individual must be able to fill in for other Executive Assistants as well as anticipate needs, work independently, and operate with a high degree of discretion and professionalism in a fast-paced environment.

Responsibilities: Provide comprehensive administrative support to the executive leadership team, ensuring the smooth execution of daily operations and priority tasks. Manage and coordinate complex, detailed travel arrangements for both business and personal purposes, including flights, accommodations, transportation, and daily itineraries. Prepare and compile all necessary documents and materials for travel-related meetings and events. Assist with scheduling and calendar management for the executive leadership team through Microsoft Outlook, ensuring alignment across multiple calendars and priorities. Manage and direct incoming calls for designated executives from both internal and external contacts, maintaining a professional and courteous communication standard. Draft, type, and edit business correspondence, including letters, memos, forms, policies, and procedures-handling all confidential materials with discretion. Open, sort, and prioritize incoming mail for the executive leadership team; determine level of urgency and distribute accordingly. Provide administrative office support, including answering phones, ordering supplies, and facilitating internal and external communications. Serve as a liaison between the executives and other departments, external agencies, and high-level stakeholders including CEOs, presidents, and elected officials. Coordinate preparations for board meetings, events, and other assigned business or personal engagements on behalf of the executive team. Maintain and manage key company resources and tools, including the Jet Calendar, Roppe Training Center Calendar, petty cash, postage, and office supplies. Perform errands locally and out of town as needed to support executive needs. Coordinate quarterly conveyor process. Ensure the upkeep of office and kitchen facilities. Perform additional duties and special projects as assigned by the executive leadership team. Essential Functions:

Must possess excellent communication and interpersonal skills, with the ability to interact effectively and professionally with coworkers, customers, vendors, and other stakeholders. Strong written communication skills, including the ability to accurately record information in a clear and usable format for others. Must be detail-oriented and proficient in basic math, with the ability to work efficiently in a collaborative, team-oriented environment. Demonstrated experience and proficiency with computer applications; must be comfortable navigating various software systems. Ability to work independently with minimal supervision and exercise sound judgment in decision-making. Capable of managing multiple tasks simultaneously while maintaining a high level of accuracy and attention to detail. Proficient in using standard computer hardware, including keyboard, monitor, touchpad, and mouse. Skilled in operating common office equipment such as printers, copiers, calculators, and telephones. Must maintain confidentiality when handling sensitive or non-routine information. Must be able to remain seated or stationary in an office environment for extended periods.

Regular physical activities include sitting, standing, walking, maneuvering on the plant floor, speaking, hearing, handling objects, reaching, and tactile tasks. Ability to stoop or bend to retrieve items from the floor as needed. Ability to reach overhead to retrieve or place work-related materials. Must be able to occasionally lift and move files, documents, folders, and other materials to maintain workflow. Must be able to move throughout the office, plant, and surrounding grounds as needed to deliver or retrieve materials or attend meetings.

Professional appearance and appropriate business attire required at all times. Education, Experience, and Qualifications:

High school diploma or GED equivalent required. Completion of a two-year degree or certification from a technical or junior college in secretarial science, administrative support, or a related field is preferred. Minimum of one year of experience in a secretarial, administrative, or related role required. Proficient in the use of computer applications and office software.
