Prescriber Medical Administrative Assistant (Medical Assistant) , you'll be an essential part of our clinical support team. This is a float position supporting our Northern Region clinics, including: Government Center, Danvers, Woburn, Haverhill, Somerville, Chelsea, Lawrence, Lowell, Dedham, Newton, Marlborough, Framingham, Milford, Worcester, Sudbury, and Quincy. Regular travel to these locations is required when not working remotely. Position Summary: Provide exceptional customer service to make sure the highest quality work standards are achieved and maintained according to practice policies and procedures. Handles customer calls by answering questions, finding solutions to issues, scheduling, answering concerns or complaints and providing important information. Must possess superior customer service skills and professionalism, ability to multi-task, be conscientious and compassionate to clients and staff. Must be highly motivated while working as part of a cohesive team in a fast-paced environment. Expected to protect sensitive information, comply with HIPAA at all times, and be able to maintain composure and professionalism during stressful situations. Key Responsibilities: Answer phone calls in a professional manner and respond to voicemails in a timely manner and utilize other technologies as they become available to communicate with our patients. Guide patients through troubleshooting for company technology such as but not limited to telehealth applications and portals. Process medication prior authorizations. Support providers with various administrative duties including document preparation, written and electronic correspondence, phone calls and completion of required forms and paperwork. Answer general questions about the practice and services provided. Collaborate with other team members and locations to provide excellent customer service in a timely, accurate, thorough and professional manner to resolve patient issues. Coordinate care between patients and providers. Manage patient scheduling needs and provide general information and support to include collecting patient financial responsibility, relaying financial information and obtaining insurance updates when requested. Complete documentation in EMR in a timely, accurate, and professional manner. Provide administrative support to providers, facilitate patient-provider coordination, and assist with regulatory compliance and licensure maintenance. Follow the processes for supporting medication refill requests. Help train new team members as needed. Track completion of required paperwork for patient files for providers. Follow processes for on-site medication handling. Potentially be trained in Interventional Treatment support. Maintain dependable attendance in accordance with agreed upon work schedule. Provide timely notification of tardiness or absence. Help support clinicians and prescribers on managing waitlists. Must maintain a professional dress code at all times (business casual). All work is to be completed in a manner that complies with applicable state and federal regulations. Attend trainings and required meetings. Other duties as assigned Qualifications: High school diploma or equivalent Desire to do a thorough job in a fast-paced environment, must be detail oriented and highly organized and have strong time management skills Ability to maintain professional appearance and demeanor, and interface well with patients and teammates in a mental health setting Excellent communication skills (written and verbal) and ability to work well with a team especially in stressful situations Patient and empathetic attitude as well as adaptable and flexible Computer skills, familiarity with Microsoft applications Phone skills, including familiarity with complex or multi-line phone systems Maintain patient confidence and protect operations by keeping patient information confidential Customer service skills Creating a safe, productive work environment while adhering to practice policies and procedures Ability to complete other office tasks as needed CMH: CPR certified or willing to become certified through an accredited program within 6 months of start Experience as a Medical Assistant (Preferred) Experience in a Medical Office or call center (Preferred) Experience verifying insurance, obtaining pre authorizations and scheduling for multiple providers (Preferred) Familiarity with HIPAA regulations (Preferred) Experience with EMR (electronic medical records), medical terminology and a basic understanding of clinical pharmacology (Preferred) Data entry skills (Preferred) Experience working with patients who are suffering from anxiety and depression is preferred Exceptional interpersonal, rapport building, and active listening skills (Preferred) Explore the Advantages of Joining our Team: Enjoy competitive compensation and a wide range of benefits, including medical, dental, vision, low-cost virtual care, dependent and domestic partner coverage, 401K, and more, designed to support your well-being and financial security.
