Overview

The

Medical Office Coordinator

(MOC) provides administrative support to multiple allied health professionals in a medical office setting serving a chronically ill patient population. Interacts with many levels of Clinic/Center staff. Handles high volume patient interaction via telephone and face to face. Performs office support functions including typing, managing medical records, filing, using electronic modes of communication, performing automated scheduling and scheduling external diagnostic tests as requested. Assists with cross coverage to appropriate areas of the BEI. Ensure efficient operations by providing excellent customer service to patients, other staff members and external parties. To include all institutions that BEI and Joslin clinic maintain a collaborative working agreement.

Monday - Friday, 8:00am-4:30pm (onsite).

Responsibilities

Triage all incoming telephone calls appropriately taking independent action where possible.

Manage medical record information and flow, whether paper or electronic.

Create and manage necessary files for office.

Assist with completion of credentialing packages for professional staff

Generate typed material using standard format including, but not limited to, patient correspondence, CV's general professional correspondence.

Utilizes scheduling system for many types of appointments

Schedule outside ancillary services for patients including diagnostic testing and consults

Compose and/or generate letters

Completes confirmation calls using Televox report

Provides general information to patients and visitors

Using automated registration and scheduling system(s) and EMR within the BEI Department

Ensures patients are contacted in timely manner when schedules are canceled for planned and unplanned absences. Assists in maintaining monthly schedules in the scheduling system

Primary back-up coverage to the Surgical Coordinator Office for planned and unplanned absences

Provides cross coverage to front desk as needed

Act as liaison to professional staff to facilitate response to patient requests

Other administrative duties as assigned Practice Manager and/or Supervisor

Qualifications

Accredited business school or vocational program

2 years minimum of secretarial experience preferably in a medical setting

Knowledge of health insurance

Demonstrated skill in customer service, team building and problem solving

Experience with automated scheduling and registration system(s)

Ability to prioritize and act quickly

Balance many demands on time at once

Ability to deal with fast pace and high stress

Demonstrate high energy and strong motivational skills

Exposure to Ophthalmology a plus

Good working knowledge using a Personal Computer and Microsoft Office

Ability to type 55 WPM

Familiarity with electronic medical record preferred
