Minimum Hiring Wage: From $47,548.80 a year Scheduled Hours: Monday - Friday (days) Job Description: A Brief Overview The Executive Assistant provides comprehensive administrative support to health system executives, ensuring smooth day-to-day operations. Key responsibilities include managing executive calendars, coordinating meetings, handling correspondence, arranging travel, and supporting special projects. What You Will Do Maintain and manage the calendars for executives, including scheduling meetings, prioritizing appointments, and handling any conflicts or changes. Coordinate meeting agendas, materials, and any special arrangements for leadership meetings, board meetings, and department heads. Manage email inboxes, draft communications, and respond on behalf of executives as appropriate. This includes handling both internal and external correspondence, ensuring timely follow-up, and acting as a liaison between executives and staff or external stakeholders. Assist with special projects or initiatives, including research, tracking deadlines, preparing reports, and coordinating between departments. Provide administrative support to cross-functional teams as needed. Handle day-to-day administrative tasks like ordering supplies, managing office equipment, greeting visitors, and coordinating deliveries. Provide support during team events or internal office functions. Prepare and edit presentations, reports, and other materials for executive meetings and communications. Maintain accurate records and organize important documents, ensuring accessibility and proper filing systems. Arrange travel logistics, including booking flights, accommodation, and transportation. Manage travel itineraries and ensure executives are fully briefed on trip details. Process and track expense reports and reimbursements. Qualifications H.S. Diploma or General Education Degree (GED) Required 1-3 years Experience in an administrative or clerical role supporting management Required High level of proficiency in Microsoft Office suite (outlook, powerpoint, excel, word, etc.) Required Ability to multitask, prioritize, and manage time effectively in a fast-paced environment. Strong written and verbal communication skills, including report and presentation preparation. Excellent people skills, able to work with various stakeholders and maintain positive relationships. Ability to anticipate needs, identify challenges, and create efficient solutions. Accuracy in managing documents, schedules, and communication. Ability to quickly learn and use new software, office tools, and technology platforms. Ability to coordinate meetings, conferences, and special events, ensuring all logistics are managed smoothly. Ability to work in dynamic environments, shifting priorities and handling last-minute changes. Maintain confidentiality and handle sensitive information with the highest level of professionalism. Self-starter attitude, taking initiative without needing constant supervision. Ability to work well with cross-functional teams and assist executives in achieving goals. Exercise sound judgment when managing competing priorities or addressing issues independently.
