Executive Assistant

responsible for providing operational support to our executive leaders, ensuring smooth daily functions and contributing to organizational planning. This role acts as a vital link between the executives and senior staff, functioning effectively with moderate supervision and adhering to agency, federal, and state regulations. ESSENTIAL JOB RESPONSIBILITIES: Manage and coordinate schedules, appointments, and meetings, ensuring efficient use of time and proper preparation of agendas and materials; Handle emails, calls, and messages as a gatekeeper on behalf of executives; Draft, review, and distribute professional communications that reflect Bethanys values; Organize meeting materials, including agendas and minutes; Arrange logistics for internal and external events; Handle sensitive information with discretion, ensuring data privacy and security; Maintain accurate records and documentation; Coordinate travel plans and accommodations; Manage expense reports, reimbursements, and credit card reconciliations; Support office management tasks and vendor coordination; Serve as backup for front desk/reception as needed; Support various projects, ensuring timely completion; Build relationships with stakeholders and act as a liaison; Anticipate executive needs through research and information gathering; Provide logistical support for board and leadership meetings; Collaborate with other support staff to share best practices; Perform additional department-specific tasks and other duties as assigned. QUALIFICATIONS: Bachelors degree in Administration or related field, with at least 2 years of administrative support experience; or, Associates degree with 4 years of experience; Preferred HR experience; Excellent communication skills, both verbal and written; Ability to maintain confidentiality and handle sensitive information; Strong organizational skills and attention to detail; Ability to work independently and prioritize effectively; Proficiency in Microsoft Office Suite and adaptability to new software; Must be 21+ years old, with a valid drivers license and 3+ years of driving experience in the U.S.; Ability to pass MVR and criminal background checks, including child protection registry checks; Alignment with the agency's Statement of Faith, Mission, and Commitment to Unity.
