Job Tittle: Executive Admin/Receptionist
Job Location: Edison, NJ (Onsite)
Job Summary: We are seeking a highly organized and proactive Executive Admin/Receptionist to manage day-to-day front office and administrative operations at our Edison, NJ facility. This role is critical in maintaining a professional and welcoming environment for visitors and employees while ensuring smooth functioning of all administrative activities. Key Responsibilities: Reception Duties: Greet and assist clients and guests at the front desk. Ensure compliance with company security protocols. Manage ID cards and visitor badges. Handle incoming and outgoing mail and packages (FedEx, UPS, etc.). Manage conference room scheduling and ensure readiness for meetings. Executive Administrative Duties: Perform daily walk-throughs to assess facility readiness. Ensure cleanliness and replenishment of office and pantry supplies (tea/coffee, breakroom essentials). Coordinate printing requests and shipping requirements. Maintain seat occupancy data. Manage vendor relationships and assist in budget-related tasks. Prepare daily and monthly administrative reports. Handle billing and invoicing tasks. Serve as point of contact with building management for facility-related matters. Support planning and execution of client visits. Perform other tasks as assigned by the Office Admin/Supervisor. Qualifications & Skills: Associate degree (preferred). 5-10 years of experience in reception/admin roles. Strong verbal and written communication skills in English. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). Knowledge of office and front desk management, and procurement processes. Excellent organizational and planning skills. Analytical and problem-solving capabilities. Strong decision-making ability under pressure. Team player with a professional demeanor and adaptability to a multicultural environment. Ability to multitask and manage time effectively. Availability to work outside regular hours if required.
