Overview:

This role will support a team providing financial and administrative support to the Department of Energy (DOE), Office of State and Community Energy Programs (SCEP), the program office responsible for facilitating energy investments and initiatives with state and local partners. This role requires an onsite presence at the DOE Forrestal Headquarters building in Washington, D.C.

This is a temporary position expected to last from approximately mid-September 2025 through the end of 2025 .

Key Responsibilities: Provide logistical and administrative support for SCEP Front Office Leadership. Monitor and update the Principal Deputy Director (PDD) calendar. Coordinate with travel management, courier services, and transportation services to facilitate trips for leadership. Respond to emails on behalf of leadership. Coordinate meetings, speaking engagements, conferences, and other events. Develop travel books, briefing books, and weekend books. Plan for meetings by reserving conference rooms, arranging equipment set up, setting the specific date and time, sending meeting invitations and agendas. If necessary, arrange transportation and lodging for participants. Coordinate logistics for webinars and video conference meetings for both internal and external events. Draft, review, and edit official correspondence. Control all correspondence using DOE Docs in accordance with the DOE control correspondence Guide and SCEP guidelines. Ensure spelling, punctuation, grammar, and format of completed work are accurate and correct. Record and transcribe meeting minutes for assigned personnel and staff, prepare minutes for distribution, singling out action and follow up items as required. Qualifications:

Must be proficient in the use of Microsoft Office (Outlook/Word/Excel/PowerPoint), Must be proficient in CONCUR travel. Must have the ability to learn new tasks and technical details quickly. Experience supporting senior leadership at DOE / NNSA is a plus. Must possess excellent writing skills, critical thinking abilities, attention to detail, and reliability.
