Description
The Administrative Assistant provides administrative support to all departments in the Green Bay, WI manufacturing facility. This position is responsible for a wide range of administrative duties for the leadership team, accurately maintaining systems, and is familiar with a variety of the field's concepts, practices, and procedures. Additionally, the Administrative Assistant acts as a backup to the Customer Service department, providing support during absences or peak workload periods.
Role and Responsibilities Serve as the primary point of contact at the front desk, greeting and assisting visitors while ensuring an organized and welcoming lobby area. Answer and direct incoming phone calls in a courteous and professional manner. Maintain up-to-date contact lists and directories. Prepare and distribute internal and external communications including memos, letters, and forms. Support visitor check-in processes by identifying the purpose of visits, completing safety and security paperwork, and directing or escorting guests to appropriate destinations. Order and coordinate lunches for meetings and special events, as needed. Effectively manage and prioritize multiple projects simultaneously. Perform a wide range of administrative tasks to support all departments, including filing, typing, copying, scanning, and binding. Provide document support services such as photocopying, laminating, and printing materials for team members. Coordinate and lead planning and execution of all site events. Manage general office operations, including ordering, maintaining office supplies and organizing supply storage areas. Handle mail distribution: sort and distribute incoming mail, manage courier deliveries, and deliver outgoing mail to the post office. Process sample requests. Provide backup support to the Customer Service department, entering orders in the ERP system and responding to customers' inquiries, assisting in the preparation of regularly scheduled reports and documentation. Follow all Good Manufacturing Practices as stated within the policy. Follow all safety rules & procedures by working safely and ensuring the safety of others. Follow all food safety procedures. Follow all environmental protocols as applicable. Follow all sanitation procedures and work instructions. Perform other miscellaneous duties as assigned, including but not limited to participation on project teams. Qualifications
Qualifications and Experience
Associate degree with previous experience in office coordination is preferred. High school diploma of GED certificate. Minimum of 1 + years of relevant experience. Strong customer service, writing and communication skills. Proficient in computer skills, including data entry, MS Word, Excel, Outlook and PowerPoint required. Must be able to operate basic office equipment, such as scanners, copiers, printers, fax machines, etc. Experience in a production manufacturing environment is preferred. Required attributes
