Administrative Assistant
Location: Hempstead | Schedule: Full Time, 35 hours per week, Monday-Friday| Status: Non-Exempt | Salary Range:$19-22/Hour
The Opportunity
The Administrative Assistant serves as the first point of contact at our Certified Community Behavioral Health Clinic (CCBHC), supporting timely access to outpatient services at FCA's Family Treatment and Recovery Centers. Responsibilities include greeting and directing clients, answering and routing calls, scheduling appointments, maintaining accurate records, verifying insurance, collecting payments, and managing office supplies. The ideal candidate is highly organized, detail-oriented, and capable of thriving in a fast-paced behavioral health setting while delivering exceptional service with professionalism and compassion.
Responsibilities
Greet and check in clients and visitors in a courteous and professional manner.
Complete and update client registration and intake information in the Electronic Health Record (EHR) system.
Answer incoming calls, respond to inquiries, and route messages appropriately.
Assist with scheduling and confirming client appointments as needed.
Verify insurance eligibility and coverage; update information in the EHR system.
Collect co-pays and process client payments accurately.
Maintain strict confidentiality of client information and comply with HIPAA regulations.
Perform administrative tasks such as data entry, scanning, and document management.
Ensure the front desk and waiting area are clean, organized, and welcoming.
Monitor inventory and maintain office supplies
Assume other tasks, projects and responsibilities assigned to support the operations of the program
Qualifications
High school diploma or equivalent required.
Minimum of 2 years of front desk or administrative experience in a healthcare setting
Knowledge of insurance verification and healthcare billing terminology
Excellent verbal and written communication skills
Strong organizational skills with the ability to multi task in a fast-paced environment.
Proficient computer skills with Microsoft office and electronic health record systems
Ability to remain calm and professional in stressful circumstances
Bilingual (English/Spanish or other languages) preferred
Valid and clean driver's license
